Report options
This report has no options. It runs for the store you open it from and always shows every active stock item for that store. Archived stock items are never shown.
The report at a glance
There is no date range: the report shows costs and par levels as they are right now. The logo and the Explain this report link under it open this help article.
- The stock item list: your active stock items, grouped by stock type, then by who created them (your brand or your store), then by category.
- Costs, wastage and drift: the model figures from your brand, your store's own figures, and the prep cost drift between them.
- Items excluded from your profile: stock items your brand has switched off for your store's profile.
The stock item list
Each stock type (for example Ingredient) starts with its own column headings and ends with a count of its items. Inside a stock type, the items are split into those created and maintained by your brand and those created and maintained by your store, then grouped by category with the items in A to Z order. A thin stripe at the left of each row is green for a brand item and blue for a store item.

1 Stock item name (Stock code) - UoM
The item's name, its stock code in brackets (when it has one) and the unit it is counted and costed in, for example kg or l. Click the name to open the Stock Item Audit report for that item and see where its stock has gone.
2 Par level
The par level set for the item at your store: the minimum amount you should hold to meet normal demand until your next delivery. Par levels are set per store in the portal. The report shows three decimals; the pale grey zeros are deliberate, they keep the decimal points and the units, tens, hundreds and thousands lined up in a straight column.
3 Model
The cost figures your brand has set for the item. Items that your own store created have no model, so these cells are blank for them.
4 Store's
Your store's own figures for the same item, set out in the same order so you can compare them across the row.
5 Prep cost drift %
How far your store's prep cost is from the model prep cost. See Costs, wastage and drift.
- Stock items created and maintained by the Brand
- Items your brand set up. Your brand controls their model costs, and your store can have its own costs and wastage for them.
- Stock items created and maintained by the Store
- Items your store created. They have no model figures to compare with.
- 4 active ingredient items.
- The number of active items in that stock type. The line is a total for the stock type, not for one category.
Costs, wastage and drift
Stock is usually bought in bulk, but part of it is lost in preparation (trimming, peeling, cooking loss). The report therefore shows three figures for the model and the same three for your store.
- Bulk cost
- What one unit costs when bought in bulk, before any wastage.
- Wastage %
- The share of the item that is lost in preparation and cannot be used. If your store has not set its own wastage, your store column shows the model wastage.
- Prep cost
- What one usable unit really costs once wastage is taken into account: the bulk cost divided by (1 minus the wastage).
Worked example from the list above, for beef patties. The model bulk cost is 110.00 with 5.0% wastage, so the model prep cost is 110.00 divided by 0.95, which is 115.79. Your store pays 118.50 with the same wastage, so your average prep cost is 118.50 divided by 0.95, which is 124.74.
The prep cost drift is the difference between the two prep costs as a percentage of the model prep cost: (124.74 minus 115.79) divided by 115.79 is 7.7%. It is calculated from the prep costs as printed (to two decimals), so you can check any row yourself.
| Prep cost drift % | Colour | What it means |
|---|---|---|
| 7.7% | Red | Your prep cost is higher than the model: you are paying more. |
| 0.0% | Green | Your prep cost matches the model. |
| -4.3% | Orange | Your prep cost is lower than the model: you are paying less. |
| n/a | None | The model prep cost is zero, so there is nothing to compare with. |
| Blank | The item was created by your store, so it has no model. |
Items excluded from your profile
If your brand has switched an item off for your store's profile, it is taken out of the main list and shown at the end instead, so nothing is silently missing. This list shows the model figures only and is in A to Z order.
| Stock items excluded from the Dine-in profile | |||
| Stock item name (Stock code) - UoM | Bulk cost | Wastage % | Prep cost |
|---|---|---|---|
| Hot dog buns (BUN05) - pack | 24.00 | 3.0% | 24.74 |
| Ice cream tub (ICE01) - tub | 54.00 | 0.0% | 54.00 |
The heading shows the name of your store's profile. Click an item name to open its Stock Item Audit report. If no items are excluded, this section does not appear.

Frequently asked questions
Why is a stock item I expected not on the report?
Archived items never appear. Items that your brand has switched off for your store's profile are listed at the end of the report instead of in the main list. Items created by another store in your brand are never shown, only your brand's items and your own store's items.
Why is the prep cost higher than the bulk cost?
The prep cost includes the wastage. If 5.0% of an item is lost in preparation, you only get 95% usable product for the price of 100%, so each usable unit costs more than the bulk price. With 0.0% wastage the two are the same.
What do the colours in Prep cost drift % mean?
Red means your prep cost is higher than the model, green means it matches, and orange means it is lower. The percentage is your prep cost minus the model prep cost, divided by the model prep cost.
Why does the drift show n/a or nothing at all?
It shows n/a when the model prep cost is zero, because there is nothing to compare with. It is blank when the item was created by your store, because a store item has no model.
Why does an item show 0.00 in my columns and a drift of -100.0%?
Your store has no cost recorded for that item yet, so the report has nothing to show for it. The drift compares that zero with the model prep cost, which gives -100.0%. It clears once a cost is recorded for your store.
Why is my wastage % the same as the model wastage %?
If your store has not set its own wastage for an item, the report uses the model wastage so your prep cost is still worked out.
Are the costs shown with tax?
No. All costs on this report are exclusive of all taxes.
Why do grey zeros appear after the par levels?
They are deliberate. They keep the decimal points and the units, tens, hundreds and thousands lined up in a column, and are shaded lightly so they do not clutter the page.
How do I sort the list?
Click a column heading. The items are sorted by that column within each category. The excluded items at the end have their own headings that sort that list.
