Operational - Cashier Performance

Compare your cashiers and waiters side by side: what each of them sold, how many orders they rang up, how big their orders are, how many shifts they worked and how many voids they have. A second part shows which menu categories each person sells. Use it to recognise good performance, coach the people who need it and spot voids or discounts that need a closer look, for store managers and franchisees.

Running the report

1
Open Reports and choose Cashier Performance under Operational. The report runs for the store you are working in.
2
Set Select your start date and end date. Both start as today.
3
Run the report. You get one line per cashier with their sales, orders, shifts and voids, with a totals line at the bottom. Below it, each cashier has a list of the menu categories they sold.
TipRun it for a full week or month, not a single day. A short period can make a cashier who worked one quiet shift look weak. Click the heading of any column to sort the cashiers by it.

The dates are your trading days, from the start of the first day to the close of trade of the last day. An invoice belongs to the period in which it was rung up. Times are your store's local time. If your trading day ends after midnight, the date line is followed by a star and a note at the bottom of the page explains it.

  1. Performance per cashier: one line per cashier with sales, orders, shifts and voids, and a totals line.
  2. Menu category sales per cashier: for each cashier, what they sold per menu category.

Performance per cashier

Every employee who rang up an invoice in the period gets a line. Read it from left to right: the sales build up from Gross sales to = Turnover value, then come the order and shift figures, then the voids.

1 One line per cashier

The cashier is the employee the invoice was rung up under, waiters included. The lines are in alphabetical order until you click a heading to sort them. If the report cannot find an employee for some sales, those sales are listed together on a line called Unknown, so the totals always add up to your sales. Two employees with the same name get a line each.

How the sales columns fit together

Gross sales is what was sold before discounts and without delivery fees. Take off βˆ’ Discounts value, add + Del charge value and you get = Turnover value. In the example, Sam: 41 600.00 βˆ’ 1 450.00 + 850.00 = 41 000.00. Turnover and gross sales include value-added tax (or your country's equivalent sales tax).

Orders and shifts

# of orders counts the invoices that were not voided. Average order size is = Turnover value divided by the number of orders. # of shifts worked counts the different shifts (cashups) the cashier's invoices were cashed up into, and Avg # orders per shift is the number of orders divided by the number of shifts, rounded to a whole number. Sales that have not been cashed up yet count as one shift.

Voids

# of voided invoices and Value of voided invoices are whole sales that were cancelled after they were saved. # of voided items and Value of voided items are items that were removed from invoices that were not voided. A cashier with no voids has empty cells. Voided invoices are not part of the sales figures, and neither is the value of removed items.

Colours

The cells are coloured from green to red so you can compare cashiers at a glance. For most columns green is the highest figure and red the lowest. For voids, βˆ’ Discounts value the colours are reversed, so green is the lowest figure and red the highest.

2 Totals

The totals line adds up every cashier. Average order size and Avg # orders per shift on the totals line are worked out from the totals (82 900.00 divided by 405 orders), not by averaging the cashiers' averages. # of shifts worked adds up each cashier's shifts, so a shift worked by two cashiers is counted once for each.

Unknown
Sales whose employee the report cannot identify.

Menu category sales per cashier

The second part shows what each cashier sells. Every cashier has a heading, a list of the menu categories they sold in alphabetical order, and a subtotal. The lists are in two columns side by side. At the very end is a grand total.

Gross sales grand total (all cashiers): 384 250.00

1 One group per cashier

Each cashier's categories are listed under their own heading, with the same cashier names as the performance table, including Unknown.

2 Quantity

Quantity is the number of items sold in that category, shown with one decimal. The pale grey .0 keeps the decimal points lined up, so quantities of 12.5 and 120 are easy to compare. Items that were removed from an invoice are not counted. A menu item without a category is listed under No category.

3 Percentage and totals

Gross sales (Incl Vat) is the quantity times the menu price, including value-added tax (or your country's equivalent sales tax), before discounts. % of total is that category's share of the combined sales of all cashiers, so the percentages of every line in the report add up to 100%. The subtotal is for one cashier and the grand total is for everyone.

Frequently asked questions

What is a cashier on this report?

The employee the invoice was rung up under. Waiters are included. It is not necessarily the person who took the payment or who voided an invoice.

Why is there a cashier called Unknown?

The report could not match the employee code on some invoices to an employee at your store, for example because the employee was removed or the code was reused. Their sales are kept together on one Unknown line, so your totals still add up. If this line is large, contact AuraPOS support.

Why do the total sales here not match another sales report?

This report counts invoices that were not voided, by the time they were rung up, for the trading days you chose. = Turnover value includes value-added tax (or your country's equivalent), takes off discounts and adds delivery fees. Compare like for like with the same trading days before raising a difference.

Why is the category total different from the Gross sales column?

The two parts are worked out separately. The category part multiplies each item's quantity by its menu price and leaves out removed items, while Gross sales comes from the invoice totals before discounts and delivery fees. They should be very close. A noticeable gap is worth a look, so contact AuraPOS support with the dates.

Why is # of shifts worked not the number of days the cashier worked?

A shift is one cashup. A cashier who cashed up twice in a day, or who sold on a till and as a waiter, has two shifts that day. A cashier who was never cashed up in the period shows all their sales as one shift.

Why does the % of total in the category part look small?

It is the share of the combined sales of all cashiers, not of that cashier's own sales. A cashier who sold half of everything will have category percentages that add up to about 50%.

What do the colours mean?

They compare the cashiers on the report with each other, from green to red. They do not compare against a target. For voids and discounts the scale is reversed, so green is the lowest figure.

A sale rung up after midnight is on the previous day. Why?

A trading day ends at your close of trade, not at midnight. Sales rung up after midnight but before close of trade count towards the previous trading day. A star after the dates and a note at the bottom of the page appear when your trading day does not end at midnight.
