Menu - GP Per Menu Item

Shows the selling price and the model recipe cost of every item on a menu profile's current live menu, with cost of sales (COS) and gross profit (GP) percentages for sit down and take away service. Use it to see which menu items earn the margin you expect and which need a price or recipe review.

Running the report

1
Open Reports for your brand and choose GP Per Menu Item under Menu.
2
Choose a menu profile in Select a menu profile.
3
Run the report. Every item on that profile's live menu is listed under its category, with its prices, its model cost and its COS and GP percentages.
TipRun it once for each menu profile your brand uses. Prices can differ from one profile to the next, so the GP can too.
No dates to chooseThis report has no date options. It always shows the menu and the recipes that are live at the moment you run it, and it uses your brand's model costs, not what any store actually paid.

Report options

Select a menu profile

The menu profile to report on. The list shows your brand's menu profiles in alphabetical order. A profile only appears once it has a menu that has gone live, because there would be nothing to show for it otherwise. Archived profiles are not listed.

Dine-in
Take-away

The profile you choose is repeated at the top of the report under Selected parameters.

The report at a glance

BOB'S BURGERS
Gross profit per menu item

There is no date line. Instead the line above the column headings tells you when the menu and the recipes you are looking at went live. The page is landscape A4 and the logo carries an Explain this report link to this guide.

  1. Menu details: the profile you chose, and when its menu and recipes went live.
  2. The menu item list: prices, model cost, COS % and GP % for every item, grouped by category.
  3. How cost and GP are worked out: what sits behind the figures.

Menu details

Under the title the report repeats the menu profile you chose, and above the column headings it tells you which version of the menu and recipes it used.

1 Live menu since

When the menu that the report is showing went live, in your brand's local time. Prices and items come from this menu. If you schedule a new menu, the report switches to it from the moment it goes live.

2 Live recipe since

When the recipes that the report used for costing went live, in your brand's local time. Recipe revisions apply to your whole brand, not to one profile.

Nothing listed? If the profile has no menu that is live yet, the report has no items to show and only the headings appear.

The menu item list

Items are grouped by their menu category, categories A to Z, and the items inside each category are A to Z. There are no group totals and no report totals, because adding up percentages or prices across different items would not mean anything.

1 Menu item and PLU

The item's name and its PLU code. The PLU is left empty for items that do not have one.

2 Price (incl) and Price (excl)

Price (excl) is the selling price before tax. Price (incl) is the same price with the item's tax added. If an item carries more than one tax, they are all added. Prices are your brand's default sales channel prices on the live menu, so one line per item.

3 Sit down and Take away

The same three figures are shown twice, because an item can cost a little more or less to serve depending on how the order is served. Cost (excl) is the model recipe cost. COS % is the cost as a percentage of Price (excl). GP % is what is left: 100% less the COS %. For the Classic burger above, the sit down cost of 26.40 on a price of 80.00 is a COS of 33.0% and a GP of 67.0%.

Reading the colours and dashes

Dash (grey)
No cost can be worked out for the item. Either no recipe is set up for it on the live recipe revision, or its recipe has no model costs captured. A dash is shown instead of a misleading 100% GP.
Red GP %
The item costs more to make than it sells for, so the GP is negative.

Hover over the information icon next to the column headings for a short reminder of how the figures are worked out.

How cost and GP are worked out

The report costs every item against the recipes that are live right now, using your brand's model costs.

Base, sit down and take away recipes

An item's recipe can have a base part that applies to every order, a part that only applies to sit down orders and a part that only applies to take away orders (for example takeaway packaging). The Sit down cost is the base part plus the sit down part. The Take away cost is the base part plus the take away part. A single order is one or the other, never both.

Model costs, not actual costs

Every stock item in the recipe is costed at the model prepped cost set by your brand. The costs your stores actually paid are not used, so the report shows what the menu should earn, not what a particular store achieved. To see actual results, use the sales and stock reports.

Missing model costsA stock item in a recipe that has no model cost captured adds nothing to the item's cost, so the cost can look lower than it really is. Check your stock items' model costs with the Stock Items Per Profile report.

Frequently asked questions

Why is my menu profile not in the list?

Only profiles that are not archived and have a menu that has already gone live are listed. A profile whose first menu is still waiting for its go-live date does not appear until that date has passed.

Why does an item show dashes for cost, COS % and GP %?

The report could not work out a cost for it. Either the item has no recipe on the live recipe revision, or its recipe has no model costs captured. Add the recipe or the model costs and the figures appear once the recipe is live.

Why are there two sets of cost, COS % and GP % columns?

An item can cost a different amount to serve sit down than to serve take away, for example because of packaging. The report cannot know how an item will be served, so it shows both.

Which price does the report use?

The price on your brand's default sales channel, taken from the profile's live menu. Prices on your other sales channels are not shown.

Why is a GP % shown in red?

The GP is negative: the model cost is higher than the price before tax. Review the price or the recipe.

Why is the cost lower than I expected?

A stock item in the recipe may have no model cost captured, which counts as zero. Check the stock items in the recipe with the Stock Items Per Profile report.

I changed a recipe or a price but the report still shows the old figure. Why?

The report uses the menu and the recipes that are live now. A new menu or recipe revision only appears once it has been approved and its go-live date has passed. The line above the headings shows when the versions in use went live.

Why does this GP differ from the Gross Profit or Model Gross Profit reports?

Those reports are about trading over a period of dates. This one is about the menu itself: one price and one model cost per item, with no sales involved.

An item I expected is not on the report. Why?

Archived items and items in archived categories are not shown, and neither is an item that has no price on your default sales channel in the live menu.
