Running the report
Report options
Select your start date
The first day you want to look at. The report starts at the beginning of that trading day (see the questions below for what a trading day is). The default is today.
end date
The last day you want to look at. The whole of that trading day is included, so to see a single day, choose the same date as the start date. The default is today.
Select your stock costing model
How the discarded stock is valued. FIFO (First in First Out) values it at your oldest purchase prices first. WAC (Weighted Average Cost) uses the average of your purchase prices. LC (Last Cost) uses your most recent purchase price. The first choice is selected for you. Whichever you pick changes the Prepped unit cost (excl) and Value (excl) columns, and the model you chose is shown in the Selected parameters box at the top of the report.
The brand's method is always offered. The store's method only appears when your store uses a different method from the brand.
On the report options screen there is also an Explainer video, the same video as in Watch the video.
The report at a glance
The two dates are the start and end of the trading days you chose. This store's trading day closes at 04:00, so anything discarded between midnight and 04:00 counts towards the previous trading day, and the star (*) tells you so. A store whose trading day closes at midnight shows no star. When you open the report from another report, the exact date and time of that report's period is shown instead, for example Thu 8 Oct 2026 at 06:12.
- Discards by item: one heading per item, with a line for every discard of that item.
- Subtotals and grand total: what each item cost you, and the total for the whole period.
The footer carries the store name, the date and time the report was run, the report version and the page number.
Discards by item
Items are listed by category and then by name. Under each item heading you see every discard of that item in date order, so you can see how often it was thrown away, why, and how much it cost.

1 The item heading
Shows the item's category, its name, its stock code in brackets (when it has one) and the unit it is counted in. Click it to open the Stock Item Audit report for that item. Hover over it to see the item's description.
2 How one discard is worked out
Some stock is kept in two forms: bulk (the item as you buy it, for example a whole chicken breast fillet) and prepped (after you have trimmed and prepared it). Each discard records how much of each you threw away. Your store's wastage percentage says how much of the bulk is normally lost in preparation, so the report converts everything to one form, the prepped equivalent:
Prepped equivalent qty = (bulk qty less the wastage percentage) + prepped qty. In the first line above, 2.000 of bulk at 10.0% wastage leaves 1.800 of prepped equivalent. In the second line, 1.000 of bulk leaves 0.900, and adding the 0.500 of prepped stock gives 1.400.
Prepped unit cost (excl) is what one unit of the prepped form costs you, which is your bulk cost spread over the part of the bulk that survives preparation. Value (excl) is the prepped equivalent qty multiplied by that unit cost: 1.800 Γ 98.00 = 176.40. Both are shown without tax, which is what the (excl) means.
- Notes
- The reason or comment typed in when the stock was discarded. It is blank if nothing was entered.
- Prepped qty, Bulk qty
- The quantities recorded on the discard, always shown as positive figures.
- Wastage %
- Your store's wastage percentage for that item at the time of the discard.
Subtotals and grand total
After the last discard of each item you get a subtotal line for that item: its prepped qty, bulk qty, prepped equivalent qty and value added up (3). The subtotal's prepped equivalent qty is the sum of the lines above it. Because the wastage percentage can differ from line to line, there is no single sum that explains it, so work it out line by line.
At the very end of the report the Grand total (4) is the value of everything discarded in the period, at your chosen costing model: 313.60 + 59.85 = 373.45.

Frequently asked questions
Why is there a star (*) next to the dates in the header?
Your store's trading day does not close at midnight. Anything discarded between midnight and your closing time counts towards the previous trading day, so a discard at 02:00 on Tuesday appears under Monday's trading day. The note at the bottom of each page repeats the times for your store.
A discard I made is missing from the report. Why?
The report only lists stock discarded with the Discard to wastage activity, and only inside the dates you chose. Check that the discard falls inside your trading days, remembering the closing time above. Stock thrown away in other ways, such as a voided order, is not listed here.
Why are all the quantities and values positive?
A discard takes stock out of your store, but the report shows how much was thrown away, so every quantity, cost and value is shown as a positive figure.
Why does the Prepped equivalent qty not equal the Bulk qty plus the Prepped qty?
Because your wastage percentage is taken off the bulk quantity first. Hover over the figure to see the sum, for example (2.000 - 10.0%) + 0.000 = 1.800.
Why do the figures change when I choose a different stock costing model?
The model decides which purchase price is used to value the discarded stock. FIFO uses your oldest prices first, WAC uses the average of your prices and LC uses your latest price. The quantities do not change, only the money.
Why does the total here differ from the discards figure in another stock report?
Other reports may count a different period (for example the time between two stock takes) or a different set of activities. To compare, open this report from the other report using its link, so the exact same period is used.
