Capturing stock purchases (GRVs)
The GRV screen is used to track and manage Goods Received Vouchers, which record stock purchases received from suppliers.
Viewing GRVs
When you open the GRV screen, it displays a list of purchases recorded for the selected GRV Date. You can adjust the date to view past records and further filter results by:
- Date Received
- Status (Draft, Received, or All)
- Supplier
Recording a GRV
To record a new GRV, click Add New. This opens the GRV summary window, which consists of three main sections:
1. GRV Summary Panel (Left Panel)
Capture key invoice details, including:
- GRV Date
- Purchase Order Number (if applicable)
- Supplier Reference Number (invoice number)
- Amount Paid from POS Shift (if applicable, automatically updates shift cash-up)
- Total Amount (Including Taxes)
- Comments (optional)
2. Supplier Selection Panel (Right Panel)
Select a supplier from the list. If the supplier’s details need updating, they can be edited here.
3. Itemized Purchase Details Panel
To add stock items:
- Click Add New.
- Search for the stock item in the pop-up window.
- Be mindful that supplier item names may differ from your stock list.
- Check the Unit of Measure, as it may differ from the invoice and may require conversion.
- Click on the item to add it.
- Enter the Quantity and Total Cost (either including or excluding tax).
- Add Comments (optional) or remove the item if needed.
The system will automatically compare the total value of entered stock items with the invoice total.
GRV Status Indicators
At the bottom of the screen, the following information is displayed:
- Stock Purchases Entered – Total value of added stock items.
- Amount Needed – Remaining balance required to match the invoice.
- GRV Status – Indicates if the GRV is Balanced, Under, or Over.
Finalizing the GRV
- Click Receive to finalize the GRV.
- Confirm the Date and Time of the GRV.
- Important: Once posted, the GRV cannot be edited.
Click Post. The form will be locked and no further changes can be made.
Managing GRVs
In the Grid View, you can:
- View the GRV details.
- Print the GRV record.
- Archive the GRV (if you have permission).
