Running the report

1
Open Reports and choose Voids under Financial. The report runs for the store you are working in.
2
Set Select your start date and end date. Both start as today. Choose how many items to list per cashier in # of voided items per cashier.
3
Run the report. You get the list of voided invoices with charts, then the list of voided menu items with charts and a short list of the items each cashier voids most often, then a page of totals.
TipRun it every week and look at the percentages at the bottom of each list. A cashier who shows up again and again, or a void reason you do not recognise, is worth a conversation. Click the heading of any column to sort the list by it.

The dates are your trading days, from the start of the first day to the close of trade of the last day. An invoice belongs to the period in which it was rung up, even if it was voided later. Times are your store's local time.

  1. Voided invoices: every invoice that was voided, grouped by whether the stock was wasted, with charts by cashier and by reason.
  2. Voided menu items: items removed from invoices that were not voided, with charts by cashier, transaction type and sales channel.
  3. Frequently voided items per cashier: the items each cashier voids most often.
  4. Totals: everything combined, as a percentage of your gross sales.

Voided invoices

An invoice is voided when the whole sale is cancelled after it was saved. The invoices are split into two groups: Invoices Voided with wastage, where the food was made and wasted, and Invoices Voided without wastage, where nothing was wasted. Each group is listed in the order the invoices were rung up and has its own total.

1 Voided with or without wastage

Voided with wastage means the stock for the invoice is counted as wasted. Voided without wastage means it is not. This is the same split your stock reports use when they count losses.

2 Rung-up time and voided time

The first line is when the invoice was rung up. The second line is when it was voided. A big gap between the two is worth a look.

3 Invoice # and Order #

Click the Invoice # to open the Invoice Audit report for that invoice and see exactly what happened to it. If the customer's phone number is on the invoice, click it to open that customer's details.

4 Cashier name

The employee the invoice was rung up under. If the report cannot find the employee, it shows Unknown.

5 Totals and percentage

The total of every voided invoice, your gross sales for the period and the voids as a percentage of gross sales plus voids. Gross sales here are the sales that were not voided.

Below the list are four charts: the value and the number of voided invoices by cashier, and the value and the number of voided invoices by reason. A voided invoice without a reason is shown as No reason given.

Void reason
The reason the cashier or manager chose when the invoice was voided. A failed online order that was voided automatically shows Online order failed.
Void description
Extra detail typed in when the invoice was voided. For a failed online order the report explains what went wrong and what to do about it.

Voided menu items

Items are voided when a cashier removes them from an invoice before it is saved or sent to the kitchen. The invoice itself is not voided, so these items never appear in the list of voided invoices. Watching them matters because they are an easy way to hide a cash sale.

1 One line per item

Each line is one item that was removed. The time is when the invoice was rung up. The report keeps the fact that the item was removed but not how many were removed, so every line is shown at the menu price of one item.

2 Total and percentage

The total value of the removed items, your gross sales and the percentage they make up of gross sales plus voids.

Below the list are charts of the value and the number of voided items by cashier, the value by transaction type and the value by sales channel.

NoteThese items come from invoices that were not voided. They are items that were voided before the invoice was saved or sent to the kitchen.

Frequently voided items per cashier

For every cashier, the items they void most often. Only items that were voided at least once are listed, and each cashier has their own list.

1 How to read a line

Sam rang up 52 of this item in the period, and 2 of those were voided, so the voided percentage is 2 out of 52, or 3.8%. Qty Rung up (including # voids) counts the items that were sold and the items that were voided. The items are listed from the most voids to the fewest, and the number of items listed per cashier follows the # of voided items per cashier option.

A high voided percentage on an item the cashier rings up often is the pattern to look for.

1 Combined voids

The value of all voided invoices plus all voided menu items.

2 Percentage of gross sales

The combined voids divided by your gross sales plus the combined voids. A pie chart next to the figures shows the value of voided invoices split into with and without wastage.

Frequently asked questions

What is the difference between a voided invoice and a voided menu item?

A voided invoice is a whole sale that was cancelled after it was saved. A voided menu item is a single item that was removed from an invoice before it was saved or sent to the kitchen, so the invoice itself stands. They are listed and totalled separately, then added together on the Totals page.

Why is a voided menu item shown at the price of one item?

When an item is removed, the system keeps the fact that it was removed but not how many were on the line. The report therefore shows the menu price of one item for every line, and counts one void per line.

How are the percentages worked out?

The voided value is divided by your gross sales plus the voided value. Gross sales are the sales that were not voided, before discounts and without delivery fees. A voided invoice is shown at what the customer would have paid, after discounts and including any delivery fee, so treat the percentage as a guide for spotting trends rather than an exact accounting figure.

Who is the cashier shown on a voided invoice?

The employee the invoice was rung up under. It is not necessarily the person who voided it. The report does not show who authorised a void yet. If the report cannot find the employee, it shows Unknown.

What does "Online order failed." mean?

An online order reached your store but could not be rung up, so it was voided automatically. The void description tells you why and what to do, for example to ring the order up by hand as a special order. See the Online Orders report for the full picture.

A void from today does not show. Why?

The report places an invoice in the period in which it was rung up, and a trading day ends at your close of trade. Check that your dates cover the day the invoice was rung up, not the day it was voided. Sales rung up after midnight but before your close of trade count towards the previous trading day.

Why is a cashier missing from the list of frequently voided items?

Only cashiers who voided at least one item in the period are listed, and each cashier only shows the items they voided at least once. Cashiers the report cannot identify are listed together under Unknown.
