Financial - KPI

The KPI report puts your store's most important numbers side by side for the last 14 days, weeks or months. Sales, sales channels, transaction types, sit down versus take away, customers, busy times of day and risky till activity are all on one report, each with a chart, so you can see at a glance what is going up, what is going down and what needs a closer look.

Running the report

1
Open Reports and choose KPI under Financial.
2
Choose how you want the figures grouped in Select your preferred grouping period: Daily, Weekly or Monthly. There are no dates to pick. The report always looks back over the last 14 days, weeks or months, ending today.
3
Run the report. Each section prints on its own landscape page: a table with one column per day, week or month (oldest on the left, the current one on the right) and a chart underneath it.
Handy way to use itRun it weekly with Weekly grouping to spot trends over about three months, then run it with Daily grouping when you want to find out which day a change started. Print it or save it as a PDF to share with your team.

Report options

Select your preferred grouping period

Decides what one column on the report means. The report always shows 14 columns, so this also decides how far back you look. The default is Daily.

Daily
Weekly
Monthly

Daily shows the last 14 trading days including today, so you see about two weeks. Weekly shows the last 14 weeks including the current one, so you see about three months. Weeks run from Monday to Sunday. Monthly shows the last 14 calendar months including the current one, so you see just over a year.

The last column is not finishedThe right-hand column is today, this week or this month. It only holds what has been sold so far, so it will normally look smaller than the column before it.

Last 14 weeks

The date line tells you how far back the report looks: Last 14 days, Last 14 weeks or Last 14 months, matching your grouping period. If your store's trading day does not end at midnight, a star (*) appears after it. A note at the bottom of each page then explains that sales made between midnight and your end of day time count towards the previous trading day. Under the header, a Selected parameters panel repeats your GROUPING PERIOD.

  1. Sales: gross sales down to turnover, the number of sales and the average sale, with a line chart of net sales.
  2. Sales channels: net sales split by where the order came from.
  3. Transaction types: net sales split by counter, collect, delivery, table and so on.
  4. Sit down vs Take away: how your sales split between eating in and taking away.
  5. Customers: how many different customers ordered, and how far they travel.
  6. Meal periods: how busy each part of the day is.
  7. Potentially suspicious activities: reprints, abandoned and voided invoices, cash drawer openings and authorised discounts.

Every table uses the same columns. The examples below show Weekly grouping, shortened to six of the 14 columns so they fit this page, as run on Fri 23 Oct 2026. Only invoices that were completed count. Voided invoices are left out of every figure except the voided counts in the activities section.

Sales

The main money lines for each period, from what you rang up before discounts down to what was paid in total. A line chart of Net Sales (incl) sits underneath the table.

1 Gross Sales (incl)

The value of everything sold before any discount, including sales tax.

2 - Discounts (incl)

All discounts given in the period. They are shown as a negative number in red because they are taken off the line above.

3 = Net Sales (incl)

Gross sales less discounts. This is the figure the charts and the next three sections are built on.

4 + Delivery Chrgs (incl)

Delivery fees charged to customers, added on top of net sales.

5 = Turnover (incl)

Net sales plus delivery charges: the total value of the invoices for the period.

6 # Sales

The number of completed invoices in the period.

7 Avg Sale (incl)

Turnover divided by the number of sales: what a typical invoice is worth.

(incl)
The figure includes value-added tax or your country's equivalent sales tax.

Sales channels

Net sales for each sales channel your brand has set up, such as in store, website or a delivery app. A stacked column chart underneath shows how the channels build up each period.

Channels are listed alphabetically. A channel with no sales at all in the 14 periods is left off the report. A channel that sold nothing in one particular period shows 0.00 there. The Total line in the example is only there to show that the channels add up to Net Sales; the real report does not print it.

Orders without a channelAn invoice that has no sales channel is not in any row, so the channel rows can add up to a little less than Net Sales (incl) on the Sales page.

Transaction types

Net sales split by the type of transaction: Counter, Collect, Delivery, Table, Drive Thru and Lounge, in that order. Any other type is listed after them. Only types that were used at your store in the last 14 periods appear. A stacked column chart sits underneath.

A type that had no sales in a particular period is left blank in that column. As with sales channels, the Total line in the example is only to show that the types add up to Net Sales; the real report does not print it.

Sit down vs Take away

Shows how much of your sales are eaten in the restaurant and how much is taken away. Every item on an invoice is marked as eat in or take away when it is rung up, so one invoice can contribute to both rows.

1 Sit down and Take away

The value of the items sold, including sales tax, at their normal price. These figures are before discounts and delivery charges, so they add up to something close to Gross Sales (incl) on the Sales page, not to Net Sales. The Total line in the example is only there to show that; the real report does not print it.

The chart underneath shows each period as 100%, split between Sit down and Take away, so you can see the balance change over time whatever the total.

Customers

How many different customers ordered in each period, per transaction type, and how far away delivery customers live on average.

1 Avg KM to customers

The average straight line distance in kilometres between your store and your customers' delivery addresses. It needs your store's position and the customer's address position to be on the system.

The report can show Unique counter customers, Unique collect customers, Unique delivery customers, Unique lounge customers and Unique table customers. A customer who ordered several times in a period is counted once. Only invoices linked to a customer count, so a counter sale with no customer captured is not included. Any row with nothing in it for all 14 periods is hidden, which is why the lounge and table rows are missing in the example.

Meal periods

Splits your day into eight three-hour periods starting at 6am, and shows how busy each one is. It sits on the same page as Customers. There are three blocks: the Number of transactions, the Net sales and the % contribution to total net sales of each meal period.

The periods are Breakfast (6-9am), Mid-morning (9am-12pm), Lunch (12-3pm), Afternoon (3-6pm), Dinner (6-9pm), Late evening (9pm-12am), Late night (12-3am) and Early morning (3-6am). A period with no sales in any of the 14 columns is hidden, which is why breakfast, late night and early morning are missing in the example. A sale belongs to the period in which the invoice was created, by the clock at your store.

The percentages are each period's share of that column's net sales, rounded to one decimal place, so a column can add up to 99.9% or 100.1%.

Potentially suspicious activities

Counts of till actions that managers often want to keep an eye on. A high number is not proof of anything. It is a prompt to run the activity report and look at the detail.

1 # Voided invoices

Invoices that were voided. They are not counted in # Sales or in any money figure on the report.

2 Reprinted invoices % and the other percentages

The lower block shows each action as a percentage of the invoices rung up in the period (the # Sales line). For example, 1.2% means about one invoice in every 83 was reprinted.

3 Voided invoices %

This one is worked out slightly differently: voids as a percentage of all invoices that were started, which is completed invoices plus voided invoices.

Frequently asked questions

Why is the last column so much smaller than the others?

The last column is today, this week or this month, depending on your grouping period, and it only holds what has been sold so far. It fills up as trading continues. Compare it with the earlier columns only once the period has finished.

Can I choose my own dates?

No. The KPI report always looks back over the last 14 days, weeks or months, ending today. If you need a specific date range, use one of the sales reports that has a start and end date.

Why do Sit down plus Take away not match my Net Sales?

Sit down and Take away are worked out from the normal price of each item, so they leave out discounts and delivery charges. They will normally be close to Gross Sales (incl) rather than Net Sales (incl).

Why do my sales channels add up to less than Net Sales?

Invoices that have no sales channel are not shown in any channel row. If the difference is large, check that your staff are choosing a channel when they ring up an order.

Why are some rows missing from Customers or Meal periods?

A row is hidden when it is empty for all 14 periods. For example, a store that does not open before 9am will never show the breakfast row. As soon as a sale lands in that period, the row appears.

Why is Avg KM to customers missing?

The distance can only be worked out when your store's position and the customer's delivery address position are both on the system. If either is missing, the row stays empty or hidden. Ask your head office or AuraPOS support to check your store's position.

Which day do late-night sales count towards?

They follow your store's trading day. If your trading day ends at 04:00, a sale made at 02:00 counts towards the previous day, and the date line at the top shows a star (*). The meal period split is the exception: it goes by the clock, so that same 02:00 sale is counted in the Late night period.

Why do the activity counts not match what I expect from the activity report?

The KPI report counts each action on your trading day, the same as the sales figures, so an action after midnight but before your end of day time counts towards the previous day. The activity report may group by calendar date instead. Use it for the detail behind a number.
