Running the report
Report options
Select your start date and end date
The first and last day you want to see. Both days are included. Both default to today. The report works in trading days, so a shift that starts after midnight but before your store's end-of-day time belongs to the trading day before.
Select your preferred grouping
How the list is laid out. Day is selected when you open the report.
Day groups the shifts under each trading day, with a subtotal per day. Employee groups them under each person, with a subtotal per employee. CSV for exporting (No Grouping) gives one flat list, built for exporting, with no subtotals, summary or breaks.
The report at a glance
The dates are the trading days you asked for. If your store's trading day ends after midnight, the period runs to that time on the day after your end date, for example Thu 03 Sep 2026 04:00, and a * is added at the end of the line with a note at the bottom of each page. Under the header, a Selected parameters panel repeats your GROUPING choice.
- By day: shifts grouped under each trading day, with a subtotal per day.
- By employee: shifts grouped under each person, with a subtotal per employee.
- CSV for exporting: one flat list with no grouping.
- Summary: hours and wages per employee for the whole period.
- Breaks: the gaps between shifts on the same trading day.
- Start and end times: what the § and † signs mean.
By day
Choose Day to see each trading day as its own block. Inside a day, shifts are listed in the order they started.
| Emp # | Employee name (Emp code) | Start time | End time | Hours worked | Wages |
|---|---|---|---|---|---|
| Tue 01 Sep 26 1 | |||||
| 101 | Sam Jones | 01 Sep 08:00 | 01 Sep 16:30 | 8.5 | 340.00 |
| 103 | Jo Taylor | 01 Sep 09:00 | 01 Sep 17:30 † 2 | 8.5 | 323.00 |
| 102 | Alex Smith | 01 Sep 10:00 | 01 Sep 14:00 | 4.0 | 180.00 |
| 102 | Alex Smith | 01 Sep 15:00 | 01 Sep 19:30 | 4.5 | 202.50 |
| Subtotal: 3 | 25.5 | 1 045.50 | |||
| Wed 02 Sep 26 | |||||
| 102 | Alex Smith | 02 Sep 10:00 § | 02 Sep 18:00 | 8.0 | 360.00 |
| Subtotal: | 8.0 | 360.00 | |||
1 The trading day
The heading shows the trading day the shifts belong to, for example Tue 01 Sep 26. A shift belongs to the trading day it started in, even if it ends after midnight.
2 Start and end times
Each time shows the day, month and time. A § or † beside a time means the system had to work it out because the employee did not clock in or out. See Start and end times.
3 Subtotal
The total hours worked and wages for that trading day. Alex Smith worked two shifts on Tuesday, so both appear and both count.
By employee
Choose Employee to give each person their own block, with the dates they worked listed underneath.
| Date | Start time | End time | Hours worked | Wages |
|---|---|---|---|---|
| Alex Smith 1 | ||||
| Employee Number: 102 Hourly Wage: 45.00 | ||||
| Tue 01 Sep 26 | 01 Sep 10:00 | 01 Sep 14:00 | 4.0 | 180.00 |
| Tue 01 Sep 26 | 01 Sep 15:00 | 01 Sep 19:30 | 4.5 | 202.50 |
| Wed 02 Sep 26 | 02 Sep 10:00 § | 02 Sep 18:00 | 8.0 | 360.00 |
| Subtotal: 2 | 16.5 | 742.50 | ||
1 Employee block
Each block starts with the employee's name, their Employee Number and their Hourly Wage. Two employees with the same name are kept in separate blocks because their employee numbers differ.
2 Subtotal
The employee's total hours and wages for the whole period.
CSV for exporting
Choose CSV for exporting (No Grouping) when you want to export the report to a spreadsheet. It is one flat list of shifts, sorted by date and start time, with no subtotals, no Summary, no Breaks page and no § or † signs.
| Date | Employee # | Employee name | Start time | End time | Hours worked | Wages |
|---|---|---|---|---|---|---|
| 2026-09-01 | 101 | Sam Jones | 01 Sep 08:00 | 01 Sep 16:30 | 8.5 | 340.00 |
| 2026-09-01 | 103 | Jo Taylor | 01 Sep 09:00 | 01 Sep 17:30 | 8.5 | 323.00 |
| 2026-09-01 | 102 | Alex Smith | 01 Sep 10:00 | 01 Sep 14:00 | 4.0 | 180.00 |
In this layout the date is printed as year, month, day so a spreadsheet can sort it.
Summary
When you choose Day or Employee, the report ends with a Summary that adds up the whole period per employee.
| EmployeeName | Hours | Wages |
|---|---|---|
| Alex Smith | 16.5 | 742.50 |
| Jo Taylor | 8.5 | 323.00 |
| Sam Jones | 8.5 | 340.00 |
| Total: | 33.5 | 1 405.50 |
The totals match the sum of the daily or employee subtotals above them.
Breaks
The Breaks page lists the time an employee spent away between two shifts on the same trading day. A break runs from the end of one shift to the start of the next, and the Minutes column shows how long it was.
| Emp # | Employee name (Emp code) | Break start time | Break end time | Minutes |
|---|---|---|---|---|
| 102 | Alex Smith | 01 Sep 14:00 | 01 Sep 15:00 | 60 |
In this example Alex Smith ended the first shift at 14:00 and started the second at 15:00, so the break is 60 minutes. A § or † beside a break time works the same way as in the shift lists.
Start and end times
Normally the start and end times are the moments the employee clocked in and out. When one is missing, the report fills it in so the shift still counts, and marks it so you can check it.
- § (no clock in)
- The employee did not clock in. The start time is the first activity the POS recorded for that employee on that trading day.
- † (no clock out)
- The employee did not clock out. The end time is the last activity the POS recorded for that employee on that trading day, and never before the start time. If the employee started another shift later the same day, the end time stops when that next shift begins.

Frequently asked questions
Why is a shift that started at 01:00 on the 2nd shown under the 1st?
The report uses trading days. If your store's trading day ends at, say, 04:00, anything that starts between midnight and 04:00 belongs to the trading day before. The note at the bottom of each page shows your store's end-of-day time.
What do the § and † signs mean?
The employee did not clock in (§) or did not clock out (†), so the report used the first or last recorded activity of that day instead. Check these with the employee before paying wages. See Start and end times.
Why do the wages not equal the hours shown times the hourly wage?
The hours are shown to one decimal place, but the wages are worked out from the exact time between the start and end times. A shift of 4 hours 20 minutes shows 4.3 hours, but the wages use 4 hours 20 minutes.
Why is an employee missing from the report?
An employee only appears if they clocked in, or had recorded POS activity, during the period you chose, and they must exist as an employee at this store. Online ordering users and a few system employee codes are never listed.
Why are the wages blank for an employee?
Wages are hours worked times the employee's hourly wage. If no hourly wage is set on the employee's profile, the hours still show but the wages stay empty. The wage used is the one on the profile today, not the one at the time of the shift.
Why is a break not listed?
A break is only listed when an employee has a second shift on the same trading day and there is time between the end of the first shift and the start of the second. A break across two trading days is not listed, and neither is a gap of zero minutes.
An employee changed their employee code. Are their old shifts still counted?
Yes. Shifts are matched to the employee, not to the code they used at the time, so earlier clock-ins still appear under their current name and number.
