Sales - Product Sales By Tag

The Product Sales By Tag report shows how much of each menu item your store sold, grouped by the tags you have put on your menu items (for example Spicy, Vegetarian or Kids menu) and then by product category. For each item you see the quantity, its share of the category, the unit price and the gross sales, discounts and net sales. It's for store managers and franchisees who want to see how a themed group of items is selling, check a promotion that runs on tagged items, or report on items that cut across your menu categories.

Running the report

1
Make sure your menu items have tags. Tags are set up for your brand and added to menu items in your menu. Only items with at least one tag appear on this report.
2
Open Reports for your store and choose Product Sales By Tag under Sales.
3
Choose your start and end dates, how to show prices that changed, whether to use the names at the time of the sale, and whether to see figures including or excluding VAT (see Report options).
4
Run the report. You get one section per tag. Inside each section the items are grouped by product category, with a subtotal per category and a total for the tag.
TipCreate a tag for a promotion (for example Winter specials) and add it to the items in the promotion. Run this report for the promotion's dates to see exactly what the promotion sold, across all your menu categories, in one section.

Report options

Select your start date / end date

The first and last trading day to include. Your store's close of trade time is used, so a sale after midnight but before close of trade counts towards the previous trading day. Both default to today.

When product prices change, show...

each item's unit price separately
each item's average unit price

What to do when an item was sold at more than one price in the period, for example after a price increase or with a happy hour price.

each item's unit price separately
The default. One line per item per price it was sold at. A Chilli Burger sold 30 times at R89.90 and 10 times at R84.90 shows as two lines. The column heading reads Distinct item price.
each item's average unit price
One line per item. The price is the average of what it sold for, weighted by quantity: the same Chilli Burger shows once, 40 sold at R88.65. The column heading reads Average item price.

The quantities, sales and discounts are the same either way. Only the number of lines changes.

Display names as they were at the time of the sale

A tick box, off by default. Off: items and categories show under the names they have in your menu today. On: they show under the names they had when each sale was rung up, so if you renamed an item during the period it appears twice, once under each name. The tags themselves always use their current names.

Show sales figures

Inclusive (Brand default)
Exclusive

Whether every rand figure on the report includes or excludes VAT (value-added tax or your country's equivalent sales tax). Your brand chooses which one is the default: it's always first in the list, marked (Brand default), and already selected when you open the report. If your brand has chosen exclusive, the list reads Exclusive (Brand default) and Inclusive.

Choose Inclusive to compare with your cash-ups, which count the money customers actually paid. Choose Exclusive to look at profitability, where VAT isn't your money. The line under the report title and every rand column heading tell you which one you're looking at, for example Gross sales (incl VAT) or = Net sales (excl VAT).

How exclusive figures are worked outThe VAT is taken off each item at that item's own VAT rate, so a zero-rated item shows the same amount either way. Discounts are reduced by the VAT on the items they applied to. Quantities, and the lines you see, don't change. With each item's unit price separately the lines are still split by the price the customer paid.

The report at a glance

Bob's Burgers Times Square
Product sales by tag
Grouped by tag and then product category. All sales figures are including VAT.
From Mon 12 Oct 2026 00:00 until Sun 18 Oct 2026 23:59

The dates are trading days. If your store's close of trade is later than midnight (say 02:00), the line reads From Mon 12 Oct 2026 02:00 until Mon 19 Oct 2026 02:00 * and the asterisk is explained at the foot of each page: sales between midnight and close of trade are included in the previous day's sales. The line under the title says excluding VAT when you choose Exclusive.

  1. The column headings, repeated at the top of every page.
  2. Tag sections: one section per tag, each with its own total.
  3. Product lines and subtotals: inside each tag, the items grouped by product category, with a subtotal per category.

There is no overall total at the end. An item with more than one tag is counted in each of its tags, so adding the tag totals together would count those sales more than once.

The footer of every page shows when the report was run and by whom, the store name and code, the report version and the page number. If no tagged items were sold in the period, the report shows a picture with the message Make sure to add tags to your menu items before using this report. instead.

Tag sections

Each tag has its own section, starting with a grey heading. The heading repeats at the top of the next page if a section runs over. Tags appear in the sort order set up for your brand's tags, then alphabetically. Archived tags are left out.

1 The tag

The tag's name. If your brand has given the tag a separate report name, that name is shown instead.

2 Tag total

The total quantity, gross sales, discounts and net sales of every item with this tag, across all its categories.

3 The same item under two tags

Peri-Peri Fries is tagged both Spicy and Vegetarian, so its 30 sales are counted in both sections. That's why the report has no grand total: the two tag totals added together would count the fries twice.

Product lines and subtotals

Inside each tag the items are grouped by product category, in alphabetical order, and listed alphabetically inside each category. The example is the Burgers category inside the Spicy tag, with each item's unit price separately and Inclusive.

1 Product description (PLU)

The item's name with its PLU code in brackets. Items without a PLU code show the name only.

2 Item price

The price of one item before discounts. With each item's unit price separately it's the price it was sold at on that line. With each item's average unit price it's the average price, weighted by quantity. With Exclusive it's the price without VAT: the R89.90 Chilli Burger shows as 78.17.

3 Qty

How many were sold. Whole numbers show a faint .0. Items sold by weight or in part portions can show decimals.

4 Qty % contrib to category

The item's share of the quantity sold in its category, inside this tag: 40 of the 65 burgers is 61.5%. The lines in a category add up to 100%.

5 Discounts and net sales

Gross sales is quantity times price. - discounts is the item's share of the discounts given on the orders it was on. A discount on a whole order is shared across the items on that order in proportion to their value; a discount on specific items is shared across only those items. = Net sales is gross sales less discounts. Here one Chilli Burger was given away free with a voucher, so 89.90 is taken off.

6 Category subtotal

The totals of the category's lines inside this tag.

No category
Items that don't have a product category.

Frequently asked questions

Why is there no grand total?

An item can have more than one tag, and it's counted in every tag it has. Adding the tag totals together would count those items more than once, so the report only totals each tag on its own. For your store's total sales use the Product Sales or Category Grouping Sales reports.

Why is an item missing, or why is the report empty?

Only items with at least one tag appear, and only tags that aren't archived. If the report shows Make sure to add tags to your menu items before using this report., either none of your menu items have tags yet or none of your tagged items sold in the period. Add tags to your menu items and run it again.

Why does an item appear in two sections?

It has two tags. Each tag's section counts all its sales. That's expected.

Why does an item appear twice in the same category?

Either it sold at two different prices and you chose each item's unit price separately, or you ticked Display names as they were at the time of the sale and the item was renamed during the period. Choose each item's average unit price or untick the box to get one line.

Why doesn't a tag total match the Product Sales report?

This report only includes tagged items, and only the tag's own items in each section. Also check that both reports use the same dates, the same Show sales figures choice, and the same choice of gross or net.

Why aren't exclusive figures lower than inclusive by exactly the standard VAT rate?

VAT is taken off each item at its own rate. Zero-rated items don't change, so a section with some zero-rated items drops by less than the standard rate.

Why does a sale at 01:00 show under the previous day?

If your store's close of trade is after midnight, everything before close of trade belongs to the previous trading day. The asterisk on the date line and the note at the foot of the page remind you of this.

Why is the discount on an item not the full discount I gave?

A discount on a whole order is shared across all the priced items on that order by their value. If the order also had untagged items, or items under another tag, part of the discount sits with those items.
