Ringing up Delivery orders and assigning drivers
Starting a Delivery Sale
To record a new delivery, tap the Transaction Type button to switch your transaction type:
Tap Delivery
CounterPOS will immediately open up the Search Customers panel.
Adding an existing customer
You can search for an existing customer by their phone number by default. If you want to search by name or any other criteria, you need to tick that option first.
Note: You need to type in at least 4 numbers of a phone number before filtered results will show. Also, if your device is offline, you will not be able to search your existing customer database, since it's stored on the cloud. |
Tap a customer from the results list to open their Details.
Review and confirm their details and tap Save to link them to the order.
Adding a new customer
If you need to add a new customer, tap + Add new customer to capture a new customer's details.
For a Delivery order, you will need a customers Name and Phone number, as well as a valid Address.
Selecting the correct Delivery Area for this customer is important as well, as it will make sure the correct delivery charges are added to the sale.
Note: If Google Maps integration is enabled, the address you choose will be validated against Google Maps. This is especially important if you're using GPS distance to calculate your delivery charges, or if you're using a delivery service tool such as Delivery Tribe which require GPS coordinates. |
Tap Save to link the customer to the order. The Customer control button will have an exclamation to show that there's a customer already attached to the order, and the Customer's details will show in the Invoice header.
You can tap the Customer button to edit the customer's details or Unlink them from this sale.
Sending the Order
Now, ring up the customer's order. A delivery order is usually paid to the diver upon deliveru, so you don't need to take payment now.
From the Sale Controls above the item basket, you'll have the option to Send the order to the kitchen, so they can start preparing it.
Once sent, CounterPOS will start a new sale.
Assigning a Delivery order to a driver
After a delivery order has been sent to the kitchen and prepared, it will need to be assigned to a driver so that driver knows which orders to take with them on delivery.
To do that, you will need to find the order from the Summary screen.
A not-yet completed or paid-for Delivery order will show with a status of Unpaid.
Remember that you can use the Search bar to search by customer name or number, or use the Transaction type quick filter to look for open Deliveries.
Tap the order to open it in the Sale screen. From the Sale control buttons, tap More... then Assign Driver.
This will give you a list of availble drivers. If a driver is available, tap their name. If the driver is not yet there, you can Clock in a driver from here.
When assigned, the driver name shows up in the Invoice header.
You can then tap Summary to return to the summary screen.
Note: You can reassign the order to another driver via the same process, just by selecting another name. |
Completing and Fulfilling the Sale
A delivery order may be completed in one of two ways; by manually recording the sale and marking it fulfilled, or when cashing up the driver.
Manual completion
An Unpaid Delivery sale may be completed by opening it from the Summary screen, and recording a payment.
Doing this will record the payment to the shift of the device you're on. However, delivery orders are not considered complete until they are marked as Fulfilled.
Completing via Cashup
Any unpaid delivery orders that are assigned to a driver must be reconciled when doing that driver's cashup.
During the cashup process, the driver will need to capture payments for all their orders. Posting the driver will allocate all their sales to the POS device they were cashed up on.
