Financial - Recon

The Recon report is your payments reconciliation. It lists every payment taken in your date range, grouped the way you choose, with the sale payment, tip and change for each, so you can match your card and account payments to your bank statement.

Running the report

1
Open Reports and choose Recon under Financial.
2
Set Select your start date and end date. Both start on today's date. Then choose how to group the payments with Select your preferred grouping, and tick or untick Show highly detailed information and Hide cash orders.
3
Run the report. The options you picked are shown at the top, the payments follow, and the last page adds everything together in a grand total with a pie chart.
TipTo match your bank statement, run the same dates as the statement and leave Hide cash orders ticked. Card payments and their tips are what reach your bank. Tick Show highly detailed information when you need to find one particular payment.
Cashups firstThe report only shows figures once today's and yesterday's cashups in your date range have been posted. Until then you see an orange message instead of the payments.

Report options

Select your start date

The first trading day to include. The default is today. Change it to look at an earlier day, the start of a week or the start of a month.

The last trading day to include. The default is today. The whole of this day is included, up to your close-of-trade time.

Off by default. When it is off you see one summary line for each payment type inside every group. When it is ticked, every payment is listed above its summary line, with its date, invoice number and sales channel reference.

Hide cash orders

Ticked by default. When it is ticked, cash payments are left out, which suits matching your bank statement. Untick it to include cash, for example to see the change you gave back.

The dates are the first and last trading day you picked. If your trading day ends at a time other than midnight, an asterisk follows the dates and the note at the bottom of each page explains your trading times. Top right are the logo and Explain this report, which opens this guide.

  1. Selected parameters: the options you chose
  2. Summary view: one line for each payment type inside each group
  3. Detailed view: every payment listed, when Show highly detailed information is ticked
  4. Chronological view: one plain list, when the grouping is Chronological (No Grouping)
  5. Grand total: the pie chart, the grand totals and the voids note

Every line uses the same five money columns: Amount outstanding, Sale payment, Tip, Change and Total payment. The blue signs above the headings show the sum: sale payment plus tip plus change equals total payment.

Selected parameters

A box under the heading repeats the options you chose, so a printed copy always shows how it was run.

With Show highly detailed information unticked and a grouping chosen, each group gets a heading, one line for every payment type used inside it, and a total for the group. Here the grouping is Sales channel and cash is hidden.

1 A payment type line

One line for every way customers paid inside the group: how many payments, which payment type, and the money columns added up. The payment type names are the ones set up for your store.

2 Account sales

A sale put on an account, for example an order from a delivery app that pays you later, is counted as paid on account and shows as Account - followed by the sales channel name. When the account is settled, the real payment shows instead.

3 The group total

Adds up every line of the group: Sale payment 6 900.00 plus 1 725.00 gives 8 625.00, and the Total payment is 7 440.00 plus 1 725.00, which gives 9 165.00.

4 Unpaid orders

Orders that still have an amount owing show it under Amount outstanding, with nothing under the other columns. Once they are paid they move to the payment type that was used.

Grouped by Payment typeWhen the grouping is Payment type, the lines inside each group are sales channels instead, each ending with subtotal:, and the group total is the whole payment type.
The blue + and = signs
Sale payment plus tip plus change equals total payment.

Detailed view

Tick Show highly detailed information to list every payment. Each group then has a heading with the column titles, a sub-heading for each payment type, the payments themselves, and the same summary lines as before. Here the grouping is Sales channel, shown for Walk-in.

1 The ** marker

Two stars next to the sales channel reference mean the invoice was paid in more than one payment, here two card payments on invoice 1-1103. Each payment has its own line. The footnote on the last page explains the stars.

2 Payments, not invoices

The count in a summary line counts payments. Invoice 1-1103 has two payments, so the line says 4 orders for 3 invoices.

The Invoice number is a link. Click it to open the full details of that invoice. The Sales channel reference is the order reference of the channel, such as a delivery app's order code, and is blank for walk-in sales.

Chronological view

Choose Chronological (No Grouping) for one list in date and time order, with the payment type on every line and no group totals. Here Hide cash orders is unticked, so a cash payment appears.

1 Cash and change

The customer handed over 200.00 in cash for a sale of 150.00 and got 50.00 change. Sale payment is the 150.00 that stayed with you, Change is the 50.00 given back, and Total payment is the 200.00 that changed hands.

Grand total

The last page starts with a pie chart, Payment types - Sale amount paid, showing how the sale payments divide between the payment types. Below it the grand totals add up every payment on the report, whatever the grouping.

1 The grand totals

These are the two group totals from the summary example added together: 8 625.00 plus 18 400.00 gives a Sale payment of 27 025.00, and 9 165.00 plus 19 760.00 gives a Total payment of 28 925.00.

Under the totals the report explains the ** marker, and when any invoices were voided in your date range a green note gives their value:

Voids noteThere are R 1 380.00 worth of voided invoices for this date range that are not included on this report. Payments may have been received for some of these orders. Click the note to run the voids report for the same dates.

The voids figure follows your Sales channel filter. It is not affected by Hide cash orders.

Frequently asked questions

Why does nothing show, only an orange message about cashups?

For security the report is held back while any cashup for today or yesterday in your date range has not been posted, so the figures cannot be used to adjust a cashup count. Post the cashups, or run the report for earlier days. Days with no cashups at all are never held back.

Why is cash missing from my report?

Hide cash orders is ticked by default, because cash does not reach your bank. Untick it and run the report again to include cash payments and the change given.

What do the two stars mean?

The invoice was paid in more than one payment. Each payment gets its own line, and every line of that invoice carries the stars. An invoice that is only part paid also gets the stars, because its unpaid balance is shown on a second line.

Why does a line say 4 orders when I only count 3 invoices?

The count is of payments, not invoices. An invoice paid with two card payments counts twice.

Why is Total payment bigger than Sale payment?

Total payment is the sale payment plus the tip plus the change. It is the amount that actually changed hands: a customer who pays a sale of 150.00 with 200.00 cash, with 50.00 change, has a sale payment of 150.00 and a total payment of 200.00.

Why do the payment figures differ from another report?

Recon is the trusted report for payments. Other reports can show payment methods differently, for example Contribution Margin shares a sale between its payment methods in proportion to what each one paid. When you need the true payment totals, use Recon.

Where are my voided sales?

Voided invoices are not on this report. The green note on the last page gives their total for your dates and your sales channels, and links to the voids report.

Why does a sale after midnight sit under the previous day?

Trading days run from your close-of-trade time to the same time the next day. Sales made between midnight and your close-of-trade time count towards the previous trading day. When your trading day does not end at midnight, the date line carries an asterisk and the note at the bottom of each page gives the times.

Why does a cashier show as Unknown?

The report could not match the person who rang up the sale to a current or past employee login. The payment is still counted. Check the employee in your back office.
