# Stock - Transfers

Shows every stock transfer into and out of your store in the dates you choose, store to store and external, with the quantities, the status of each transfer and what it was worth. Use it to check what left your store, what arrived, and what it cost or saved you.

Updated Thu 5 Nov 2026

## Running the report

1

Open **Reports** and choose **Transfers** under **Stock**.

2

Choose your dates, which stores to include, how to **Group report by** and your **stock costing model** (see [Report options](https://help.aurapos.com/en/article/stock-transfers#options)).

3

Run the report. You get a **Selected parameters** box, then every transfer movement in the period, grouped the way you asked, with a total at the end.

**Tip**Click the name of a stock item to open the **Stock Item Audit** report for it and see everything that has happened to that item.

## Report options

### Select your start date and end date

The first and last trading day to include. Both default to today. The whole of each trading day is used, from your store's closing time to the next closing time, so the time of day you pick is ignored.

### Between these stores

Narrows the report to the transfers between your store and one other store. The default shows everything, including external transfers (stock sent to or received from a place that is not one of your stores). The list only contains stores your store has transferred stock with in the last 12 months.

All stores and external transfers

Bob's Burgers Times Square and Bob's Burgers Wharf

Bob's Burgers Times Square and Bob's Burgers Boardwalk

**Please note**When you pick one other store, external transfers are left out, because they do not involve another store.

### Group report by

Chooses how the lines are grouped. The default is **Stock item**.

Stock item

Store

Inbound Outbound

### Select your stock costing model

Decides which purchase prices value the stock that **left** your store. You always see your brand's method, for example FIFO. If your store uses a different method from the brand, that one is offered as well. Stock that **arrived** is not affected: it keeps the price captured when it was transferred in (see [How a transfer is valued](https://help.aurapos.com/en/article/stock-transfers#costing)).

Brand's method (FIFO - First in First Out)

Store's method (LC - Last Cost)

Transfers report

Mon 26 Oct 2026 00:00 to Thu 29 Oct 2026 23:59

The dates are the first and last trading day you chose. If your trading day does not close at midnight, the times change (for example 04:00 to 04:00) and a star appears after the dates: stock moved between midnight and your closing time counts towards the previous trading day. When you open the report from a link in another report, it shows that report's exact period instead.

1. [Selected parameters](https://help.aurapos.com/en/article/stock-transfers#params): what you asked for.
2. [Grouped by stock item](https://help.aurapos.com/en/article/stock-transfers#item): one block per stock item with a subtotal, and a net total at the end.
3. [Grouped by store](https://help.aurapos.com/en/article/stock-transfers#store): one block per route, such as your store to another store.
4. [Grouped by inbound / outbound](https://help.aurapos.com/en/article/stock-transfers#inout): everything that came in, then everything that went out.
5. [Reading a line](https://help.aurapos.com/en/article/stock-transfers#lines): what each column means.
6. [How a transfer is valued](https://help.aurapos.com/en/article/stock-transfers#costing): why out and in are valued differently.

## Selected parameters

A box under the report header repeats your choices, so a printed copy always shows what it was run for.

| BETWEEN THESE STORES | GROUPING | STOCK COSTING MODEL |
| --- | --- | --- |
| **All stores** | **Stock item** | **FIFO** 1 |

### 1 Costing model note

Under the box the report reminds you that the costing model applies to stock transferred out, and that stock transferred in is valued at the price captured in the transfer.

## Grouped by stock item

The default layout. Each stock item gets a heading with its category, the lines for that item in date order, and a subtotal. Items are ordered by category and then name. The **Net total** at the end is everything in minus everything out.

| Net total: | | | | | | | | | | \-526.00 |

Out lines are negative and in lines are positive, so a subtotal tells you whether the item left or arrived on balance. In the example the Beef mince went out (-6 kg net) and the Tomatoes came in (2.7 kg net).

## Grouped by store

Each route gets its own block: the place the stock came from, then **to**, then the place it went. Inside a block, lines are ordered by in or out, then category, item name and time. Each block ends with a total for that route. This layout has no overall net total.

| Head office store to Bob's Burgers Times Square total: | | | | | | | | | | 180.00 |

Use this layout to see how much stock went to or came from each place. The four totals add up to the same -526.00 as the net total in the stock item layout.

## Grouped by inbound / outbound

Two blocks: **Inbound** first, then **Outbound**. Each block lists its lines by category, item name and time, with the location shown on every line, and ends with a subtotal. This layout has no overall net total either.

| Outbound subtotal: | | | | | | | | | \-1 106.00 |

Inbound 580.00 plus outbound -1 106.00 is -526.00, the same overall figure as in the other two layouts.

## Reading a line

Stock movement date and time

When the stock actually moved, in your store's local time, for example **Mon 26 Oct 2026 at 09:10**.

Type

**Store to Store** when the other side is one of your stores, or **External** when stock went to or came from somewhere else, such as a supplier, a charity or head office.

In Out

**In** means stock arrived at your store. **Out** means it left.

Location name

Where it came from, then **to**, then where it went. Your own store is always one side.

Notes

Notes typed in on the transfer. Each note starts with the name of the store that wrote it. For store to store transfers you may see the sender's note, the receiver's note, and a short received or cancelled reason. Blank notes are not shown.

Status

**Completed** for external transfers. For store to store transfers: **Pending**, **Sent** (on the sender's side), **Received** (on the receiver's side) or **Cancelled**. Green means done, dark blue means waiting and red means cancelled.

Bulk qty

The quantity in the form you buy the stock, negative for out and positive for in.

Wastage %

The share of the bulk quantity your store normally loses in preparation.

Prepped equivalent qty

The quantity once the wastage is taken off, in the form you use it. For example 5.000 bulk at 10.0% wastage gives 4.5 prepped. Hover over the figure to see the sum.

Prepped unit cost (excl)

The cost of one prepped unit, without tax.

Value (excl)

Prepped equivalent qty multiplied by the prepped unit cost, without tax. It is negative for stock that left and positive for stock that arrived.

**Please note**Pale grey zeros after a quantity, such as the .000 in **10.000**, are deliberate. They keep the decimal points and the units, tens and hundreds lined up in a column. They are shaded lightly so they do not clutter the page.

## How a transfer is valued

The two directions are valued differently, on purpose.

### Stock that left your store

Valued with the **stock costing model** you chose. FIFO uses the oldest purchase prices still in stock, WAC the average purchase price, and Last Cost the most recent purchase price. Switch the model and the values of the **Out** lines change, but the quantities never do.

### Stock that arrived at your store

Valued at the price captured when the transfer was done. That price is fixed, so the **In** lines show the same value whichever costing model you pick.

**Tip**If you compare the same transfer at the two stores, expect the sender's **Out** value and the receiver's **In** value to differ a little: each store values its own side.

**Please note**If a line shows a value of 0.00 on an Out line, there may be no figure for the costing model you chose, for example because the store changed its costing model after the transfer. Try the other model, and contact AuraPOS support if it still looks wrong.

## Frequently asked questions

Why are the quantities and values negative for some lines?

Stock that **left** your store is shown as a negative, and stock that **arrived** as a positive. That way the subtotals and the **Net total** show the balance: a negative total means more went out than came in.

Why does the value change when I pick a different stock costing model?

Only the **Out** lines change. They are valued with the model you pick: oldest purchase prices for FIFO, the average for WAC and the latest price for Last Cost. **In** lines keep the price captured when the stock was transferred in, so they never change, and neither do the quantities.

A transfer I know about is missing. Why?

Check the dates first. The report uses whole trading days, so stock moved after midnight but before your closing time counts towards the previous day. Also check **Between these stores**: choosing one other store hides external transfers and transfers with every other store. Transfers that have been archived are not listed, and a transfer only appears once its stock has moved.

Why does the Bulk qty differ from the Prepped equivalent qty?

The wastage percentage is taken off the bulk quantity first. For example 5.000 bulk at 10.0% wastage is 4.5 prepped. Hover over the prepped equivalent figure to see the sum for that line.

Why do I see a star next to the dates?

Your store's trading day does not close at midnight. The star reminds you that stock moved between midnight and your closing time counts towards the previous trading day.

Why is a value 0.00 on an Out line?

Out lines are valued with the costing model you selected. If there is no figure stored for that model, usually because the store changed its costing model after the transfer was done, the line shows 0.00 and the total is lower than it should be. Try the other model in **Select your stock costing model**. If the lines still look wrong, contact AuraPOS support.

Why can't I find a store in Between these stores?

The list only offers stores your store has transferred stock with in the last 12 months. For older transfers, leave it on **All stores and external transfers** and look at the **Location name** on each line.

Why does the period differ when I open the report from another report?

Links from other stock reports, such as Stock Variance, Gross Profit and Stock Item Audit, open the Transfers report for the period of the report you came from. From Stock Variance and Gross Profit that is the exact time of the two stock takes, so the lines match the figures you clicked.
