# Stock - Stock Take Worksheet

The Stock Take Worksheet report prints a list of every active stock item your store holds, so you can take it to the shelves and write your counts onto paper instead of using the Aura Companion App. Items are grouped by stock type and category, with a space beside each one for a prepped count and a bulk count. It is for store managers and stock controllers who prefer to count stock on paper.

## Running the report

1

Open **Reports** and choose **Stock Take Worksheet** under **Stock**.

2

If you only want to count some of your stock, pick one or more stock lists in **Stock list filter**. Leave it empty to list every active stock item.

3

Run the report and print it. Take the pages to your shelves, count each item and write the quantity in the **Prepped count** or **Bulk count** column.

**Count one area at a time**Create a stock list for each storeroom, fridge or shelf area, then run the worksheet once per stock list. Each area gets its own short sheet and nothing is counted twice.

**Stock in the cloud**This report only lists stock for stores that have moved to stock in the cloud. If your store has not, the worksheet is empty.

## Report options

The report runs for the store you open it from. There is one option to set.

### Stock list filter

Limits the worksheet to the items on the stock lists you tick. The dropdown shows your store's stock lists in A to Z order, and you can tick more than one. An item that is on any of the ticked lists is printed once, even if it is on several of them. Archived stock lists are not offered.

Nothing ticked: every active stock item (shown as **All** on the report)

One or more of your stock lists ticked: only the items on those lists

The default is nothing ticked. Change it when you count part of the store at a time, for example one fridge or one storeroom.

Stock take worksheet report

Active stock items

There is no date range: the worksheet lists the stock items that are active for your store right now. The logo and the **Explain this report** link under it open this help article.

1. [Selected parameters and count details](https://help.aurapos.com/en/article/stock-stock-take-worksheet#top): the stock lists you chose, and boxes to fill in who counted, when, and the sub-count name. First page only.
2. [The item list](https://help.aurapos.com/en/article/stock-stock-take-worksheet#items): your active stock items, one block per stock type, then one group per category.
3. [Filling in the counts](https://help.aurapos.com/en/article/stock-stock-take-worksheet#counting): what to write in the **Prepped count** and **Bulk count** columns.

## Selected parameters and count details

Under the report title the first page shows a **Selected parameters** panel that repeats the stock lists you chose, followed by a box to fill in by hand. Both appear on the first page only.

| Selected parameters | | | |
| --- | --- | --- | --- |
| STOCK LISTS | All | | |
| Counted by: 1 | | Counted date: | |
| Signature: | | Counted time: | |
| Sub-count name: 2 | | | |
| Stock lists: 3 | All | | |

### 1 Counted by, Counted date, Counted time and Signature

Empty boxes for the person doing the count to fill in by hand, so every sheet shows who counted, when, and who signed it off.

### 2 Sub-count name

An empty box for the name of the sub-count this sheet belongs to.

### 3 Stock lists

Shows **All** when you did not pick a stock list, otherwise the names of the stock lists you picked, in A to Z order.

## The item list

Each stock type (for example Ingredient) starts with a heading and its column headings, which repeat at the top of every page. Inside a stock type the items are grouped by category, with the items in A to Z order. Items that have no stock type or no category are shown under **Not set**.

### 1 Stock item name (Stock code)

The item's name with its stock code in brackets. An item that has no stock code shows its name only. Click the name to open the **Stock Item Audit** report for that item. Pointing at the name shows the item's description, when it has one.

### 2 UoM

The unit of measure the item is counted in, for example kg, l or each. Count and write down your quantity in this unit.

### 3 Model Wastage %

The share of the item your brand expects to lose while it is prepped and cooked. It is blank for items your own store created (they have no brand model) and for items with no wastage.

### 4 Store's Wastage %

The wastage your store uses for the item. If your store has set its own wastage it shows that, otherwise it shows the same wastage as the model. It is blank when the wastage is nil.

### 5 and 6 Prepped count and Bulk count

Blank on purpose: these are the spaces where you write your counts. See [Filling in the counts](https://help.aurapos.com/en/article/stock-stock-take-worksheet#counting).

At the end of the list the report prints how many items it listed, for example **5 items**, and a reminder that the Aura Companion App can do stock takes on a mobile phone, even offline.

Category: Dairy

A category heading. Every item below it, up to the next category heading, belongs to that category.

Ingredient

A stock type heading. The stock type groups the items below it and its column headings repeat on each page.

**Sort a column**Click the heading **Stock item name**, **UoM**, **Model Wastage %** or **Store's Wastage %** to sort the items by that column. The sort works inside each category.

## Filling in the counts

Each item has two spaces for the quantity you counted. Use the one that matches the state the item is in when you count it, and write the quantity in the unit shown under **UoM**.

### Prepped count

The quantity you counted after the item was prepared and the wastage was already removed.

### Bulk count

The quantity you counted before the wastage was removed, for example whole, untrimmed stock. When this quantity is captured, the point of sale converts it into a prepped quantity by taking off the item's wastage percentage.

**Use the right column**A bulk quantity gets the item's wastage taken off it when it is captured, a prepped quantity does not. Writing a prepped quantity in the **Bulk count** space would therefore take the wastage off twice.

## Frequently asked questions

Why is a stock item missing from the worksheet?

The report only lists items that are active. An item will not appear if it has been archived, if your brand has switched it off for your store's profile, if it belongs to another store, or if you ticked stock lists in **Stock list filter** and the item is not on any of them. Clear the filter to see every active item.

Why are the wastage columns blank for some items?

**Model Wastage %** is blank for items your own store created, because only your brand sets model figures. Either column is also blank when the wastage for that item is nil.

Why does Store's Wastage % match the model for an item I never changed?

When your store has not set its own wastage for an item, the report uses the model wastage so that you always see the figure that applies to your store.

Should I write my count under Prepped count or Bulk count?

Use **Prepped count** when the item has already been prepared and the wastage has been removed, and **Bulk count** when you count it before it is prepped. A bulk quantity is converted into a prepped quantity by taking off the item's wastage percentage when the count is captured.

Does the worksheet show how much stock the system expects me to have?

No. The worksheet never shows expected or on-hand quantities, only the item, its unit of measure and its wastage, so you count what is actually on the shelf.

Why is an item's group called Not set?

An item that has no stock type, or no category, is not left out. It is listed under a group called **Not set** so that you still count it.

Can I do the count on my phone instead of paper?

Yes. The note at the end of the worksheet reminds you that the Aura Companion App can be used to do stock takes directly on your mobile phone, including offline.
