# Stock - Stock Item Audit

One page that shows everything your store knows about a single stock item: its details and costs, its pack sizes, and its recent stock takes, purchases, discards to wastage, transfers and manufacturing, plus the recipes and menu items that use it. Use it to find out why an item's stock or cost looks wrong.

Updated Mon 2 Nov 2026

## Running the report

1

Open **Reports** and choose **Stock Item Audit** under **Stock**.

2

Click **Search for a stock item** and start typing the item's category, name or code. Pick the item from the list.

3

Run the report. It shows the item's details first, then its pack sizes, then each activity section for your store, newest information last in each section.

**Jump to the source**Dates and numbers that are underlined (the stock take, GRV, discard, transfer and manufacture dates) open the matching report when you click them. Hover over a figure, or over the small information icon next to a section heading, to see how it was worked out. Click **Explain this report** under the logo at the top right of the page to open this guide online.

## Report options

### Search for a stock item

Choose the one stock item you want to audit. The list shows every active stock item in your brand as **Category - Item name (code)**, in alphabetical order, and you can type to search it. The report always runs for the store you are logged in to. There is no date option: each section looks back over a fixed period (see the notes under each section).

Dairy - Cheddar slices (CHS100)

Sauces - Mayonnaise (MAY001)

Sauces - Tomato sauce (TOM001)

**Items created by other stores**Some stores create stock items just for themselves. If you pick an item that another store created for itself, the report has nothing to show for your store.

## Item details

The top of the report is a summary of the item itself, so you know exactly which item and which costs you are looking at.

| Item details | | | |
| --- | --- | --- | --- |
| **Category** | Sauces | **Item code** | MAY001 |
| **Item name** | Mayonnaise | **Unit of measure (UoM)** | kg |
| **Item description** | Full cream mayonnaise | **Status** | Active |
| | | **Stock type** | Ingredient |
| | | **Owner** | Brand |

| Current item costs (excl taxes) 1 | Model | Store's Avg | Drift % |
| --- | --- | --- | --- |
| Bulk cost unit price | 60.00 | 62.40 | 4.0% |
| Wastage % | 5% | 5% | 0% |
| Prep cost unit price | 63.16 | 65.68 | 4.0% |

### 1 Current item costs

**Model** is the brand's figure for the item. **Store's Avg** is your store's own average. **Drift %** is how far your store's figure is from the model: a positive drift means your store pays more, or loses more to wastage, than the brand expects. The drift cell is shaded red-pink when your figure is higher, green when it matches and orange when it is lower. It shows **n/a** when the model figure is zero. Stock items that your store created for itself have no brand model, so the **Model** column and **Drift %** show **n/a**.

The **Prep cost unit price** is the cost of one unit after wastage: the bulk cost divided by (1 minus the wastage percentage). Hover over a prep cost to see the working.

### Stock lists and taxes

Next to the costs, **Stock lists** shows the active stock lists at your store that contain the item, and **Taxes** shows each tax set on the item with its latest rate. If the item has a barcode (or, if not, an item code), it is also printed as a barcode at the top of the item details.

## Pack sizes

An item can have pack sizes, for example the tub, bucket or bottle it is bought in. This section lists every pack size that applies to your store, with a label showing who owns it. Pack sizes are set up in the portal; the report only shows them.

| Pack sizes for mayonnaise | | | | |
| --- | --- | --- | --- | --- |
| Pack sizes available to this store | | | | |
| Owner 1 | Pack size | Units per pack | Unit of measure | Status 2 |
| Brand | Tub (5 kg) | 5.000 | kg | Active |
| Brand | Bucket (10 kg) | 10.000 | kg | Active |
| Store | Bottle (1 kg) | 1.000 | kg | Active |
| Brand | Drum (25 kg) | 25.000 | kg | Archived (replaced by Bucket (10 kg)) |

### 1 Owner

**Brand** pack sizes were created by your head office and are shared by every store in the brand. **Store** pack sizes were created by your own store. Pack sizes created by other stores are never shown, and neither are brand pack sizes that your store has hidden in the portal.

### 2 Status

A pack size that is no longer in use shows as **Archived** and is printed in red, after the active ones. When it was replaced by another pack size, the status says which one. Active pack sizes come first, brand ones before store ones, smallest pack first.

Units per pack

How many of the item's unit of measure are in one pack. Whole numbers show a faded **.000**.

Unit of measure

The item's unit of measure, which is the unit the units per pack are counted in.

### When there are no pack sizes

If the item has no pack sizes that apply to your store, the headings still print and the section tells you so:

| Pack sizes for tomato sauce | | | | |
| --- | --- | --- | --- | --- |
| Owner | Pack size | Units per pack | Unit of measure | Status |
| *No pack sizes have been configured for this item in the portal yet.* | | | | |

**Same message, two reasons**You see this message when no pack sizes exist for the item, and also when the only pack sizes are brand ones that your store has hidden. To add pack sizes, or to stop hiding one, use the item's pack sizes in the portal.

## Stock takes

Every stock take at your store in the last 32 days that included the item, oldest first. There is one line per stock take. If the item was counted in more than one place (a sub count) in the same stock take, those counts are added together on the one line.

| Captured at 1 | Counted at | Counted by | Status 2 | Stock take details | | Calculated values |
| --- | --- | --- | --- | --- | --- | --- |
| Prepped count | Bulk count | Store's prepped equivalent qty 3 | | | | |
| Mon 5 Oct 2026 at 07:50 | Sun 4 Oct 2026 at 22:00 | Sam | Archived | 0.000 | 9.000 | 8.550 |
| Tue 13 Oct 2026 at 08:10 | Mon 12 Oct 2026 at 22:30 | Sam | Posted | 0.000 | 10.000 | 9.500 |
| Tue 27 Oct 2026 at 08:05 | Mon 26 Oct 2026 at 22:15 | Sam | Draft | 1.000 | 12.000 | 12.400 |

### 1 Captured at and Counted at

**Counted at** is when the stock was counted. **Captured at** is when the stock take was captured in the system. Click the **Captured at** date to open the stock take report for that stock take.

### 2 Status and colours

All stock takes are shown, but draft stock takes (orange) and archived ones (red) are not used in gross profit calculations.

### 3 Store's prepped equivalent qty

The bulk count less your store's wastage percentage, plus the prepped count. In the example, 12 bulk less 5% wastage is 11.4, plus 1 prepped is 12.4. Hover over the figure to see the sum.

Prepped count

What was counted already prepared, in the item's unit of measure.

Bulk count

What was counted in bulk, before wastage is taken off.

## Purchases

Goods received vouchers (GRVs) at your store for the item from the last 102 days, oldest first. Credit notes appear as well: an automatic credit note shows as **Auto CN #** and a returned-stock credit note as **Ret CN #**.

| GRV # | Stock received / returned date and time | GRV details | | | | | | Calculated values | | | Model | |
| --- | --- | --- | --- | --- | --- | --- | --- | --- | --- | --- | --- | --- |
| Bulk qty | Bulk unit cost (excl) | Total cost (excl) | Input taxes | Total cost (incl) | Store's prepped qty 1 | Store's prepped unit cost (excl) 2 | Model prepped unit cost (excl) | Prep cost drift % 3 | | | | |
| GRV #1021 | Fri 9 Oct 26 at 09:15 | 20.000 | 60.00 | 1 200.00 | 180.00 | 1 380.00 | 19.000 | 63.16 | 63.16 | 0.0% | | |
| GRV #1030 | Fri 16 Oct 26 at 08:05 | 5.000 | 66.00 | 330.00 | 49.50 | 379.50 | 4.750 | 69.47 | 63.16 | 10.0% | | |
| GRV #1034 | Fri 23 Oct 26 at 10:40 | 10.000 | 57.00 | 570.00 | 85.50 | 655.50 | 9.500 | 60.00 | 63.16 | \-5.0% | | |

### 1 Store's prepped qty

The bulk quantity less your store's wastage percentage. In the example, 20 less 5% is 19.

### 2 Store's prepped unit cost

The total cost (excl) divided by the store's prepped quantity: 1 200.00 divided by 19 is 63.16. Hover over the figure to see the working.

### 3 Prep cost drift %

How far the store's prepped unit cost is from the model prepped unit cost. It is shaded red-pink when you paid more than the model, green when it matches and orange when you paid less. It shows **n/a** when there is no model cost.

### Colours

A GRV line that has not been received or returned yet is printed in orange, and an archived GRV is printed in red. Click the GRV number to open the goods received voucher report.

Input taxes

The tax your store paid on the purchase, as recorded on the GRV.

## Discards to wastage

Every time the item was discarded to wastage at your store in the last 32 days, oldest first.

| Discarded at 1 | Notes | Discard details | | Calculated values |
| --- | --- | --- | --- | --- |
| Prepped qty | Bulk qty | Store's prepped equivalent qty | | |
| Fri 9 Oct 2026 at 15:42 | Dropped on the floor | 0.500 | 0.000 | 0.500 |
| Thu 22 Oct 2026 at 21:10 | Past its use by date | 0.000 | 2.000 | 1.900 |

### 1 Discarded at

Click the date to open the discards report for that day. Quantities are always shown as positive numbers. The **Store's prepped equivalent qty** takes your store's wastage percentage off any bulk quantity: 2 bulk less 5% is 1.9.

## Transfers

Stock of the item that was transferred into or out of your store in the last 32 days, oldest first.

| Transferred at 1 | Location 2 | Notes | Transfer details | Calculated values |
| --- | --- | --- | --- | --- |
| Bulk qty 3 | Store's prepped equivalent qty | | | |
| Tue 6 Oct 2026 at 10:20 | Inbound from Bob's Burgers Wharf | Weekly top up | 10.000 | 9.500 |
| Wed 21 Oct 2026 at 16:45 | Outbound to Bob's Burgers Boardwalk | Lent for an event | \-4.000 | \-3.800 |
| Fri 23 Oct 2026 at 09:00 | Outbound to Cash and carry | Captured by mistake | \-1.000 | \-0.950 |

### 1 Transferred at

Click the date to open the stock transfers report for that day. Archived transfers are printed in red.

### 2 Location

Shows the direction and where the stock came from or went to: another store in your brand, or an outside location. If the location is not known it says **an unknown location**.

### 3 Quantities

Stock coming in is a positive number and stock going out is negative, so the column adds up to the net movement.

## Manufacturing

Two parts, both for the last 32 days and oldest first. The first lists batches that made the item (when your store makes it, for example a sauce). The second lists batches that used the item as an ingredient.

| Recent manufactures of mayonnaise | | | | |
| --- | --- | --- | --- | --- |
| Created at 1 | Reference | Notes | \# Batches x Yield per batch = Expected yield | Actual yield 2 |
| Mon 19 Oct 2026 at 11:30 | MAY-001 | Weekly batch | 2 x 5 = 10 | 10.00 |
| Mon 26 Oct 2026 at 11:15 | MAY-002 | Split, remade | 2 x 5 = 10 | 9.50 |

| Recently used mayonnaise in manufacturing | | | | |
| --- | --- | --- | --- | --- |
| Used at | Reference | Notes | Explanation | Expected qty used / Actual qty used 3 |
| Mon 19 Oct 2026 at 11:30 | SAU-014 | | Used to make 20 kg of Burger sauce | 4.00 <br>4.00 |
| Mon 26 Oct 2026 at 11:15 | SAU-015 | | Used to make 20 kg of Burger sauce | 4.00 <br>4.50 |

### 1 Created at

Click the date to open the manufactured stock report for that day. Archived batches are printed in red.

### 2 Expected and actual

The expected yield is the number of batches multiplied by the yield per batch. The figure is green when the actual yield matches the expected yield and orange when it does not.

### 3 Used in manufacturing

The explanation says what the item was used to make. The expected and actual quantity used are shown one above the other, green when they match and orange when they differ.

If nothing was manufactured, or the item was not used in manufacturing, in the last 32 days, the part is simply empty.

## Named recipes

The named recipes (shared recipes such as a sauce or a base) that contain the item, and how much of it each one holds. Recipes are changed in revisions, so the section is split into up to three groups. Only named recipes used by at least one active menu item are listed.

| Named recipe name 1 | kg of Mayonnaise |
| --- | --- |
| Draft recipe | |
| Burger sauce | 0.450 |
| Wrap sauce | 0.250 |
| Current recipe Effective since Mon 05 Oct 2026 at 08:00 | |
| Burger sauce | 0.400 |
| Wrap sauce | 0.250 |
| Previous recipe Effective since Mon 07 Sep 2026 at 08:00 | |
| Burger sauce | 0.350 |

### 1 The groups

**Draft recipe** (orange) is the newest revision, which may not be in use yet. **Current recipe** (green) is the revision in use now, with the date it took effect. **Previous recipe** (grey) is the one before it. When the newest saved revision is dated in the future it is labelled **Pending recipe** instead, and the revision in use is the current one.

## Menu item recipes

The active menu items that use the item, either through a named recipe or by having the item added directly, grouped by the same recipe revisions as the section above.

| Menu item category | Menu item name | Named recipe qty and name 1 | Sit down recipe 2 | Take away recipe 2 |
| --- | --- | --- | --- | --- |
| Current recipe Effective since Mon 05 Oct 2026 at 08:00 | | | | |
| Burgers | Classic burger | 0.1 x Burger sauce | 0.040 | 0.040 |
| Burgers | Classic burger Large | 0.15 x Burger sauce | 0.060 | 0.060 |
| Wraps | Chicken wrap | 0.1 x Wrap sauce | 0.025 | 0.025 |
| Sides | Fries | n/a 3 | 0.010 | 0.015 |

### 1 Named recipe qty and name

How many of the named recipe the menu item uses. Hover over it to see how much of the item each named recipe contains: *Each 0.1 x Burger sauce named recipe contains 0.4 x kg Mayonnaise*. A menu item with variants (for example a size) shows the variant after the name.

### 2 Sit down recipe and Take away recipe

The quantity of the item used when the menu item is sold for sitting down, and when it is sold to take away. Each figure is the shared (base) recipe plus anything specific to that order type. In the example, 0.1 of a named recipe that holds 0.4 kg is 0.040 kg.

### 3 Added directly

When a menu item has the stock item added to it directly instead of through a named recipe, the named recipe column says **n/a**.

## Frequently asked questions

Why does the Pack sizes section say no pack sizes have been configured?

The item has no pack sizes that apply to your store. Either none have been set up for the item in the portal yet, or the only ones that exist are brand pack sizes that your store has hidden. Pack sizes that other stores created for themselves are never shown to you.

A pack size I expected is missing from the Pack sizes section. Why?

Check three things. It may have been hidden by your store in the portal, it may belong to a different store, or it may be attached to a different stock item (for example a similar item with another code). Archived pack sizes are still listed, in red, so a missing one is not simply archived.

Why are some lines orange or red?

Red means archived: an archived pack size, stock take, GRV, transfer or manufacture. Orange means not final: a draft stock take, a GRV that has not been received or returned yet, or a manufacture whose actual figure differs from the expected one. Drift cells use their own shading: red-pink when your figure is higher than the model, green when equal and orange when lower.

How far back does each section go?

Stock takes, discards, transfers and manufacturing look back 32 days. Purchases look back 102 days. Pack sizes and the item details are always current. Named recipes and menu item recipes show the draft, current and previous recipe revisions, with no date limit.

Why is a stock take or GRV missing from the report?

It is probably older than the period for that section, or it belongs to another store. The report only shows your own store's activity. A stock take is judged by the date it was counted, not the date it was captured.

Why do the prepped equivalent figures not match my counts?

They take your store's wastage percentage off the bulk quantity. For example 10 in bulk with 5% wastage is a prepped equivalent of 9.5. If your store has its own wastage percentage for the item it is used, otherwise the brand's is.

Why does Drift % show n/a?

The brand's model figure for that cost is zero or not set. Items that your store created for itself have no brand model, so every drift on them shows n/a.

Why do some transfer quantities have a minus sign?

A minus means stock left your store (outbound). Stock that came in (inbound) is positive.

The report is empty after I pick an item. What is wrong?

If no item details appear, the item probably belongs to another store. Pick a different item. If the item details appear but a section is empty, there was simply no activity in that period.
