# Stock - Reorder

The Reorder report shows every stock item that has dropped below its par level, so you know what to order and from whom. For each item it shows what you should have on hand, what you normally buy per day and per delivery, and the supplier you bought it from last and the cheapest supplier you used in the past four months. It is for store managers and anyone who places stock orders.

## Running the report

1

Open **Reports** and choose **Reorder** under **Stock**.

2

If you want a safety buffer on your par levels, choose a percentage under **Increase par levels by n %**. There are no dates to choose: the report always works from your stock on hand right now.

3

Run the report. Every stock item that is below its (adjusted) par level is listed, grouped by stock type and category. Items that cannot be checked are listed at the end.

**Use it as your order sheet**Print the report or export it, and work down the list. Click an item name to open the **Stock Item Audit** report for that item and see where its stock has gone.

**Before you start**This report is only available in stores that have moved to stock in the cloud. You must have done at least one stock take in the past 45 days, and each stock item needs a par level (set under **Stock**, then **Stock items** in the portal). If you have not, the report shows a short reminder instead of a list.

## Report options

### Increase par levels by n %

Adds a safety buffer to every par level. With **0** an item is listed when it is below its par level. With **20**, an item with a par level of 10 is listed once it is below 12. Use a buffer when deliveries are slow or demand is hard to predict, so you order before you are right at your minimum. The report remembers the choice you made last time.

Reorder report

Showing all low on stock items (compared to their par levels)

The report has no date range. It shows your stock on hand as it is now, calculated from your last stock take plus everything that has moved since. The logo and the **Explain this report** link under it open this help article.

1. **Selected parameters**: shows the **PAR BUFFER** you chose, for example `10%`.
2. **Confidence indicator**: a colour bar from **Highest confidence** to **Lowest confidence**, explained under [Items to reorder](https://help.aurapos.com/en/article/stock-reorder#reorder).
3. [Items to reorder](https://help.aurapos.com/en/article/stock-reorder#reorder): the items below their adjusted par level, with their purchase history.
4. [Items left out](https://help.aurapos.com/en/article/stock-reorder#excluded): items that have no par level, or were not counted in the past 45 days, so they could not be checked.

## Items to reorder

One block for each stock type (for example raw stock), then one group for each category, with the items in A to Z order. An item appears here when its **Theoretical stock on hand qty** is lower than its **Adjusted par level**.

### 1 Stock item name (Stock code) - UoM

The item's name, its stock code in brackets (when it has one) and the unit it is counted in. The name is a link: click it to open the **Stock Item Audit** report for that item.

### 2 Theoretical stock on hand qty

How much of the item you should have right now: the quantity at your last stock take, plus what has been bought, made and transferred in since, minus what has been sold, used or transferred out. The cell is coloured by how long ago the item was last counted. Green means counted recently, so the figure can be trusted. It fades to red as the count gets older, and is fully red at 45 days. Quantities show three decimals; the pale grey zeros are deliberate, they keep the decimal points and the units, tens, hundreds and thousands lined up in a straight column.

Highest confidence (counted today)Lowest confidence (counted 45 days ago)

### 3 Adjusted par level (Par + n%)

Your par level for the item plus the buffer you chose. In the example the buffer is 10%, so a par level of 4 becomes 4.4. If you chose 0, this is simply your par level.

### 4 Average purchases per day and per GRV

**Average purchases per day** is the total quantity you bought of the item in the past four months, divided by the number of days since your oldest purchase in that period. **Average purchases per GRV** is the total quantity bought divided by the number of deliveries (GRVs). Use them to decide how much to order and how often. They are blank when the item has not been bought in the past four months.

### 5 Last purchase (in past 4 months)

The most recent delivery of the item: the **Supplier**, the **GRV Date** (day and month, in your store's time) and the **Unit price**. The unit price is what you paid for each unit received on the GRV, excluding value-added tax or your country's equivalent sales tax. Only completed deliveries count, not returns or credit notes.

### 6 Cheapest purchase (in past 4 months)

The delivery in the past four months with the lowest **Unit price**, with its supplier and date. When two deliveries have the same price, the older one is shown. If this matches the last purchase, you are already buying from your cheapest supplier.

Paper napkins (no supplier shown)

You have not bought this item in the past four months, so the average and supplier columns are blank. It is still listed because its stock is below par.

## Items left out

Below the list, the report shows the items it could not check, so nothing is silently missing. Each is grouped by who controls the stock item (your store or your brand) and then by category.

| These items have been excluded from the reorder report | | |
| --- | --- | --- |
| Stock item name (Stock code) - UoM | Missing par levels | Not counted in the past 45 days |
| Stock items controlled by the Store | | |
| Category: Packaging | | |
| Cling wrap (WRP01) - roll | ✓ | |
| Paper cups (CUP01) - sleeve | ✓ | ✓ |
| Category: Sauces | | |
| Tomato sauce (TOM03) - l | | ✓ |
| Count: | 2 | 2 |

**Missing par levels** means the item has no par level, so the report cannot tell when it is low. **Not counted in the past 45 days** means the item has not been in a stock take for 45 days (or has never been counted), so its stock on hand cannot be trusted. An item can have both ticks. The **Count** row adds up each column.

**Get more value from the report**A par level is the minimum amount of an item (food, drinks, supplies) you should have on hand to meet normal demand until your next delivery, without overstocking. Set one for every stock item under **Stock**, then **Stock items** in the portal, and count your stock regularly, so fewer items end up in this list.

## Frequently asked questions

Why is an item I expected to see not on the report?

Either its stock on hand is at or above its adjusted par level, or it could not be checked. Look at the end of the report: items with no par level, or not counted in the past 45 days, are listed there. Archived items never appear.

I just received a delivery but the item is still listed. Why?

The report works from your recorded stock. Make sure the delivery has been captured and its GRV completed. Once it is, the quantity on hand goes up and the item drops off the list if it is back above par.

What does Increase par levels by n % do?

It raises every par level by that percentage before the report compares it with your stock on hand, so more items are listed and you order earlier. It changes only this report, not the par levels you have set up.

Why are the supplier columns blank for an item?

There has been no completed delivery (GRV) of that item to your store in the past four months. Returns and credit notes do not count. Capture a GRV when you next buy it and the columns fill in.

Why does an item not show the supplier I used most?

The report shows two suppliers only: the one you bought from last, and the one with the lowest unit price in the past four months. It does not show who you buy from most often.

Why is Average purchases per day blank or very high?

It divides what you bought by the days since your oldest purchase in the past four months. If your only purchase was today, there is no time span to divide by, so it is blank. If you have bought the item only recently, the figure can look high because the span is short.

What do the colours mean?

The colour of the **Theoretical stock on hand qty** shows how recently the item was counted. Green means counted recently, red means close to 45 days ago. A red item may be listed only because it has not been counted for a while, so consider counting it before you order.

Is the unit price shown with tax?

No. The unit price excludes value-added tax or your country's equivalent sales tax. It is the cost of the line on the GRV divided by the quantity received.

Why are the dates missing a year?

GRV dates show the day and short month only, for example `30 Oct`, in your store's time. Everything on this report is from the past four months.
