# Stock Items

The Stock Items screen is your full list of stock items available to your store. You'll use these items every time you take stock, log a GRV, manufacture stock, or record a discard.

To access the stock items screen, go to the **Stock Section**, then click **Stock Items.**

Use the filters at the top of the screen to narrow down the list:

- **Stock Category**: show items from one category only, like Cheese or Bakery.
- **Stock Type**: show only Food cost or Non-food cost items.
- **Status**: show Active or Inactive items.
- **Item Source**: show only Brand items or only Store items.

Under **Override Comparison**, you can also tick **Show cost comparison** or **Show wastage comparison** to add those columns to the list view.

## Brand Items vs. Store Items

Every item on this list is tagged as either a **Brand** item or a **Store** item. The tag tells you at which level the item was created.

### Brand Items

Brand items are set up by your brand and given to every store. You'll see a green **Brand** tag next to these items.

Because the brand manages these items, most of their details are locked at store level If you need a change, such as a new unit of measure or description, you'll need to contact someone at the brand. Any chamges they make update for your store automatically.

### Store Items

Store items are ones you create yourself, just for your store. They don't affect any other store, and the brand doesn't manage them.

A common use for store items is tracking operational costs that aren't part of your main stock list. This includes things like staff milk, staff bread, or fuel.

> **Note:** Store items can't be added to recipes. They're for tracking costs, not building menu items.

You can edit or archive a store item at any time. Archiving removes it from your active list once you're no longer using it.

## Comparing Your Costs to the Brand's Model Cost

When the brand creates an item, they set a **Model cost** — the unit cost they expect you to pay. The brand uses this Model cost when working out the Gross Profit (GP) that they expect your store to achieve at their selling price.

Your own **Store cost** updates automatically every time you record a purchase (a GRV). The item's edit screen shows both costs side by side under **Store Settings**, so you can see how your actual cost compares to the brand's expectation.

> **Why it matters:** If your store cost is close to the Model cost, you should be hitting the GP the brand has planned for. If your store cost is much higher — or suspiciously lower — it's worth checking your recent purchases. A big gap usually points to a supplier price increase, a different supplier with different pricing, or a mistake when entering a GRV.

Items with a large gap between your Store cost and the Model cost show a warning icon next to them in the list, so you can spot them quickly.

## Comparing Wastage Percentages

Some items may lose weight or volume during prep - tomatoes and peppers are cored, potatoes are peeled etc. The **Wastage %** accounts for this.

The brand sets a default Wastage % for each item. If your store's actual wastage is different — maybe because you buy from a different supplier with a different cut or net weight — you can override it under the item's **Store Settings**.

> **Why it matters:** Wastage % is what converts a **Bulk** count (stock still in its packaging, or not yet prepped) into a **Prepped** equivalent (ready-to-use weight). Getting this number right keeps your stock counts, GP, and variance reports accurate.

## Par Levels and Stock Lists

Also under **Store Settings**, you can set:

**Par level** — the minimum amount of an item you want to keep in stock. This feeds reports like your reorder report, so you know when it's time to order more.

**Stock lists** — shows which stock lists (like your weekly count list) this item belongs to, and lets you add it to more.
