# Sales - Sales Detail

The Sales Detail report lists every completed sale your store made in a period, one line per invoice, with its gross sales, discounts, net sales, delivery charges and turnover. You can group the sales in many ways, such as by date, cashier, hour of day, transaction type, sales channel or till, and see a sum, count and average for every group. It's for store managers and franchisees who want to check individual sales, compare cashiers or trading hours, or export the detail to a spreadsheet.

Updated Thu 22 Oct 2026

## Running the report

1

Open **Reports** for your store and choose **Sales Detail** under **Sales**.

2

Choose your start and end dates and how you want the sales grouped. Narrow it down with the transaction type, sales channel and device type filters if you need to, and choose whether to see figures including or excluding VAT (see Report options).

3

Run the report. Each group starts with a heading and ends with its sum, count and average. The grand total comes at the end, with a chart when the report covers more than one day.

**Tip**To work with the sales in a spreadsheet, choose **CSV for Exporting** under **Select your preferred grouping** and export the report. You get one plain table with a line per invoice and no headings, groups or totals in the way.

## Report options

### Select your start date / end date

The first and last trading day to include. Your store's close of trade time is used, so a sale after midnight but before close of trade counts towards the previous trading day. Both default to today.

### Select your preferred grouping

Date

Cashier

Chronological (No Grouping)

CSV for Exporting

Day Of Week

Device Type

Driver

Hour Of Day

Transaction Type

Month

Sales Channel

Shift Number

POS Name Paid Into

POS Name Rung Up On

POS Number Paid Into

POS Number Rung Up On

How the invoices are grouped. The report title says which one you chose, for example **Sales detail report by cashier**. **Date** is the default.

Chronological (No Grouping)

All invoices in one list called **All orders**, oldest first.

Date, Day Of Week, Month

By trading day, by weekday (Sunday first) or by calendar month and year, for example **October 2026**.

Hour Of Day

By the hour the sale was rung up, for example **Hour 12 to 13**.

Cashier, Driver

By the person who rang up the sale, or the driver who delivered it (**None** for orders without a driver).

Transaction Type, Sales Channel, Device Type

By how the order was placed (Counter, Collect, Delivery, Table and so on), the sales channel, or the kind of device it was rung up on.

Shift Number, POS Name / Number Paid Into, POS Name / Number Rung Up On

By the shift, or by the till the sale was paid into or rung up on.

CSV for Exporting

No groups or totals at all, see CSV for exporting.

### Select a custom column of information

A list of extra information about each invoice (amount paid, cashier name, tips, invoice note and more), **Blank** by default. The extra column isn't printed on the report at the moment, because several of the choices are text and can't be added up in the group totals. Your choice is only listed under Selected parameters.

### Show individual invoices

A tick box, off by default. Off: the groups open folded, so you see each group's heading and its totals. Click the **+** on a group heading to open it and see its invoices, and **\-** to fold it again. On: every group opens with all its invoices showing.

### Transaction type filter / Sales channel filter / Device type filter

Lists to tick. Leave a filter empty (or tick everything) to include all of them; tick some to include only those sales. For example, tick only **Delivery** in the transaction type filter to see delivery orders only.

### Show sales figures

Inclusive (Brand default)

Exclusive

Whether every rand figure on the report **includes** or **excludes** VAT (value-added tax or your country's equivalent sales tax). Your brand chooses which one is the default: it's always first in the list, marked **(Brand default)**, and already selected when you open the report. If your brand has chosen exclusive, the list reads **Exclusive (Brand default)** and **Inclusive**.

Choose **Inclusive** to compare with your cash-ups, which count the money customers actually paid. Choose **Exclusive** to look at profitability, where VAT isn't your money. The date line under the title, the **Sales figures** line under Selected parameters and every rand column heading tell you which one you're looking at, for example **Gross sales (incl Vat)** or **Turnover (excl Vat)**.

**How exclusive figures are worked out**Turnover is the invoice's total without VAT, exactly as the POS worked it out. Delivery charges and discounts are reduced in the same proportion as the invoice's turnover, net sales is turnover less delivery charges, and gross sales is net sales plus discounts. So every line still adds up across: gross sales less discounts is net sales, and net sales plus delivery charges is turnover.

## The report at a glance

Bob's Burgers Times Square

Sales detail report by date

From Mon 12 Oct 2026 00:00 until Sun 18 Oct 2026 23:59. All sales figures are including VAT.

The dates are trading days. If your store's close of trade is later than midnight (say 02:00), the line reads **From Mon 12 Oct 2026 02:00 until Mon 19 Oct 2026 02:00 \*. All sales figures are including VAT.** and the asterisk is explained at the foot of each page: sales between midnight and close of trade are included in the previous day's sales. The line says **excluding VAT** when you choose **Exclusive**.

1. Selected parameters: the filters and options you chose, on the first page.
2. The column headings.
3. Groups and invoice lines: one heading per group, its invoices, and its sum, count and average.
4. Grand total and chart: the totals for the whole period, a chart, and a note about voided invoices.

The footer of every page shows when the report was run and by whom, the store name and code, the report version and the page number.

## Selected parameters

A box on the first page that lists what you chose, so a printed or exported copy shows how it was run.

| **Selected parameters** | |
| --- | --- |
| Transaction types: | All |
| Sales channels: | All |
| Device types: | All |
| Grouping: | Date |
| Custom column: | Blank |
| Show details: | False |
| Sales figures: | Including VAT |
| On the group headings you can click the '+' to see the individual invoices or the '-' to hide them. | |

A filter you left empty, or where you ticked everything, shows **All**. Otherwise it lists the ones you ticked.

## Groups and invoice lines

Every group starts with a heading and lists its invoices in the order they were rung up. The example is one trading day of the **Date** grouping, with **Inclusive** and the invoices showing.

| Date and <br>time | Invoice <br># | Order <br># | Gross sales <br>(incl Vat) <br>R | \-Discounts <br>(incl Vat) <br>R | \=Net sales <br>(incl Vat) <br>R | +Delivery charges <br>(incl Vat) <br>R | \=Turnover <br>(incl Vat) <br>R |

| 12 Oct 26 12:41 | 1-1044 | 88 | 259.70 | 25.97 4 | 233.73 | 0.00 | 233.73 |
| 12 Oct 26 18:20 | 2-512 | 89 | 344.60 | 0.00 | 344.60 | 35.00 | 379.60 |
| 12 Oct 2026: 5 | Sum: | | 794.10 | 25.97 | 768.13 | 35.00 | 803.13 |
| | Count: | | 3 | 1 | 3 | 1 | 3 |
| | Average: | | 264.70 | 25.97 | 256.04 | 35.00 | 267.71 |

### 1 Group heading

What the group is: a date, **Cashier Sam**, **Hour 12 to 13**, **Shift # 1-14**, **Paid into POS Front counter** and so on. With **Chronological (No Grouping)** there's one group, **All orders**. For the **Date**, **Day Of Week** and **Month** groupings the heading gets an asterisk when your close of trade is after midnight. Click **+** or **\-** on the heading to show or hide its invoices.

### 2 Date and time

When the sale was rung up, in your store's local time. A sale at 01:00 with a 02:00 close of trade still belongs to the previous trading day's group.

### 3 Invoice # and Order #

The invoice number is the till number and the till's transaction number. Click it to open the invoice in the Invoice Audit report. The order number is the number the customer was given.

### 4 The figures

**Gross sales** is the value of the items before discounts. **Discounts** is all the discounts on the invoice, on items and on the whole order. **Net sales** is gross sales less discounts. **Delivery charges** is the delivery fee on the order. **Turnover** is net sales plus delivery charges: the invoice total. The blue **\-**, **\=**, **+** and **\=** above the headings show how they add up.

### 5 Sum, Count and Average

**Sum** adds up the group's invoices. **Count** is the number of invoices, except under **Discounts** and **Delivery charges**, where it only counts the invoices that had a discount or a delivery charge. **Average** is the sum divided by that count, so the average discount (25.97) is per discounted invoice, not per invoice.

Unknown

The sale has no value for the grouping, for example a sale not yet linked to a shift or a till.

None

Under the **Driver** grouping: orders without a driver.

## Grand total and chart

After the last group comes **Grand total**, with the same columns and a **Sum total**, **Count** and **Average** for the whole period, worked out the same way as for a group.

| Grand total | | | | | |
| --- | --- | --- | --- | --- | --- |
| | Gross sales <br>(incl Vat) <br>R | \-Discounts <br>(incl Vat) <br>R | \=Net sales <br>(incl Vat) <br>R | +Delivery charges <br>(incl Vat) <br>R | \=Turnover <br>(incl Vat) <br>R |
| Sum total: | 6 412.30 | 185.40 | 6 226.90 | 245.00 | 6 471.90 |
| Count: | 25 | 6 | 25 | 7 | 25 |
| Average: | 256.49 | 30.90 | 249.08 | 35.00 | 258.88 |

- **One trading day**: just the grand total.
- **More than one day**: the grand total and a chart of the turnover per group, titled for example **Sum of turnover by date**: a line for dates and months, columns for day of week and hour of day, a pie for device type, transaction type and sales channel, and bars for the rest. With **Chronological (No Grouping)** there's no separate grand total or chart, because the one **All orders** group already totals everything.

**Voids note.** If any invoices in the period were voided, a note says, for example, **There are R 1 250.00 (incl VAT) worth of voided invoices for this date range that are not included on this report.** Click it to open the Voids report. With **Exclusive** the amount is shown excluding VAT.

## CSV for exporting

With **CSV for Exporting** the report drops the title, the selected parameters, the groups and the totals. You get one header row and one line per invoice, ready to export to CSV or Excel.

| Date time | Invoice # | Order # | Blank | Gross sales (incl) | Discounts (incl) | Net sales (incl) | Del charge (incl) | Turnover (incl) |
| --- | --- | --- | --- | --- | --- | --- | --- | --- |
| 12 Oct 26 12:05 | 1-1043 | 87 | | 189.80 | 0.00 | 189.80 | 0.00 | 189.80 |
| 12 Oct 26 12:41 | 1-1044 | 88 | | 259.70 | 25.97 | 233.73 | 0.00 | 233.73 |

The fourth heading is the name of the custom column you chose; the column itself stays empty. The headings say **(excl)** when you choose **Exclusive**.

## Frequently asked questions

Why doesn't the turnover match my cash-up?

Check that **Show sales figures** is **Inclusive**: your cash-up counts the money customers paid, which includes VAT. Also check the dates are the same trading days and that no transaction type, sales channel or device type filter is ticked. Voided invoices are left out of this report; the voids note at the end shows how much was voided.

Why does a sale at 01:00 show under the previous day?

If your store's close of trade is after midnight, everything before close of trade belongs to the previous trading day. The asterisk on the date line and on the group headings, and the note at the foot of the page, remind you of this.

Why is the average discount so much higher than the discount per invoice?

The discount count only includes invoices that had a discount, so the average is per discounted invoice. The same goes for delivery charges: the average is per delivery order.

Why does a cashier show as Unknown, or with a name in brackets?

**Unknown** means the employee code on the sale can't be matched to a person, for example a code that was later given to someone else. The name in brackets is the employee's short name on the POS, shown when it's different from their full name.

Why do some sales show Unknown for the shift or the till paid into?

The sale hasn't been linked to a shift or a cash-up yet, for example because the shift isn't cashed up, or the sale was paid on a device that doesn't cash up into a till. They show under **Unknown** until they are.

Why aren't the exclusive figures lower than inclusive by exactly the standard VAT rate?

The VAT is taken from each invoice's own total. An invoice with zero-rated items has less VAT in it, so it drops by less than the standard rate.

I chose a custom column. Why don't I see it?

The custom column isn't printed on the report at the moment. Your choice is only listed under **Selected parameters**.

Why can't I see the invoices in a group?

**Show individual invoices** is off, so the groups open folded. Click the **+** on the group heading, or run the report again with the box ticked.
